VENDORS I’M LOOKING AT YOU 👀👀👀

Planners and venues are the big 2 that generally get inundated with emails and messages from other vendors asking to recommend them.

And because I get a ridiculous amount of vendors contacting me everyday single day I really don’t have the time to be replying to everyone. Sad but true … but like everyone else I have work to do and a life to live. 😂

So I have a process … and it’s a harsh one however for me personally it weeds out the people I probably wouldn’t align with professionally.

What do I mean by that? Attention to detail is EVERYTHING in this industry. So if you can’t even address me by my name then unfortunately you don’t get a reply. My name is plastered all over my website and socials so it seems strange to me that someone can find my email address but not my name and instead use … hey you, no name or addressee at all, to whom it may concern, Olive, Oliver, Hello team, the list goes on. If it’s not my name then sorry I do not continue reading. Sorry, not sorry. 🤷‍♀️

Looking from a clients perspective … I myself only recommend vendors I truly know and trust. If I’m going to recommend someone, they will align with my values and I know they are going to get the job done and for that matter go above and beyond for the client. No ifs, ands, or butts. 😌

That being said by all means come say hi (with my name remember 😆) and reach out because I love getting to know new peeps in the industry but lets make it less salesy and lets get to know each other. 😎

BIGGEST TIP EXPLAINED!!!

I cannot tell you how many weddings I’ve been too and walking into the getting ready location looking as if everyone’s luggage has just exploded all over the place. 😅😂

Insert footage of me trying to tidy things up or gathering and shoving things out of the way. 🥲

Let’s tell our bridal party to keep their things in their rooms or neatly out of the common living space.

Getting ready photos are not cute when there’s rubbish and clothes lying all around in the background of your shots. It’s also not your vendors job to ensure your space is clean and tidy for your photos.

When you think about it ... planning a wedding is very much like a puzzle. 🧩

You have heaps of tiny pieces to manage, sort and organise. Sometimes it gets super overwhelming, especially when you loose a piece! 😫

Each piece must be placed in it’s perfect spot to create the perfect day. ☀

A wedding planner takes on all of the above points plus much more such as compiling all these finalised details into a wedding day runsheet, floorplans, seating plans, so many spreadsheets. 😂

Being able to coordinate 20+ vendors all doing completely different things on your day plus organising the bridal party and usher guests around the place is quite a task.

DISCLAIMER - This isn’t about which is best. Let’s calm down lol 👀😂 this is from a planners perspective. Every venue is different and depending on the venue this is the type of things that would be running through my head. For example … where are the dam power points. 😆 This is my life.

What I’m trying to show you beautiful couples is that when deciding on indoor / outdoor there’s many factors to consider. The points made are not good or bad points but things to think about and cater for should you choose a particular option.

For example you’re wanting an outdoor ceremony. We now need to determine what your Plan B will be should it rain, figure out where the sun is at your ceremony time so we can make sure the positioning of the space is not in blaring direct sunlight. Do we need to have a beverage cart setup for your guests as they arrive? Is it a place that gets extremely windy which means maybe not go with mirrored signage (PS there’s such a thing as mirrored vinyl so there’s ways around it) … the things that run through a planners brain all at once is insanity lol 😂

So when you say … we are having an outdoor ceremony at this venue … your planner has just had 50 million things flash through their brain. 😂

The point of this post is to consider all options. Bonus points if you decide to hire a planner as they will / have already figured out all the parts of the day to consider and make arrangements for…. like finding those dam power points. 😆

What’s the difference you say? 👀🤔

In short the major difference is the amount of guests in attendance.

☀️ An elopement in most cases is essentially the couple plus 2 - 6 guests. Anything under 10 in my eyes. Anything more it’s branching into a micro wedding. (FYI for a legal elopement ceremony with a celebrant you need 2 witnesses/guests to sign the required documentation.)

☀️ A micro wedding is anything between 20-30 guests. Some websites will suggest up to 50 but personally I feel 50 people isn’t a small number. Granted it’s smaller than a ‘regular’ wedding (I use regular wedding very loosely 😂) but not small enough to be considered ‘micro’ in my opinion.

Another difference between the 2 terms is an elopement can generally be just the ceremony and then the couple may go off for the day either by themselves or with their couple of guests to for example a fancy dinner at a restaurant etc. Literally could do anything with your day, basically no formal reception.

A micro wedding itinerary is pretty much exactly the same as a ‘regular’ wedding with ceremony and reception with just a smaller guest list.

Hoping this helps those still in the decision making phase as to what they would like their day to look like. 🧡

Your wedding planner spends A LOT of time organising your day. This is someone who is working with you for quite some time… months. Months and months of work go into making sure your day is exactly what you both want, that every detail is accounted for and that everything goes smoothly and perfectly on the day. ☀️

And if it doesn’t you won’t know about it anyways, because us planners move in the shadows. 👀😂

Benefits of hiring a wedding planner is … you see that huge big bright orange chuck of the pie graph? That’s not you doing that work, and it’s being completed by someone who’s done it all before, knows the logistics of a wedding and knows exactly what is required for your day to run perfectly.

You see that smaller lighter orange chunk? That’s also not you running around making sure everything has been setup, making sure your vendors have turned up and also making sure everything is running accordingly to plan.

On your wedding day … you legit just don’t have the time. And what time you think you have, half it. I’m not joking there’s zero time. 😂 But the time you do have you want to be enjoying it and be stress free knowing that everything is being taken care of by a professional. Cause I got you. 😘

I love my clients 🥹 these 2 are just the most sweetest things. An incredible wedding and their families and friends honestly made it so much more special. 🧡

Working in the wedding industry you see some things … beautiful things and also weird things. Managed to spot a hilarious ‘weird’ thing at Danica’s and Liam’s wedding … one of their guests thought it was a great idea to utilise the catering fridge to store their shoes. 🤣😆 My face when I opened it to find a pair of pink high heels sitting on one of the shelves was priceless. 😂 Wasn’t difficult to figure out who they belonged too (only woman running around with no shoes lol) apparently she had misplaced them 😆

So keep that in mind … while you’re having the best day of your life … I’m here playing Blue’s Clue’s and spot the difference. 😂 Honestly made my night.

Listen here you lovers. It’s your day! So you do you and have the day you want.

The second you start telling people you are engaged the flood gates of questions will open. It’s insane. 😂 Especially questions about who’s invited.

My advice … set boundaries fairly quickly. If you say from the start this is what we are thinking / this is what we want etc. People may be less inclined to step on toes … I say may. 😂

Or hey, hire me and I’ll gladly take the hit … Wedding Planner says that’s a bad idea …. sorry the Wedding Planner already has finalised those details … The Wedding Planner would kill you. Ok maybe not that last one 🤣🤣 but you get my point.

✨ TOP 5 WEDDING PLANNING TIPS ✨

🧡 1. Start planning early
There’s nothing like the stresses of leaving something to the very. last. minute. We’ve all done it however, your wedding shouldn’t be one of those things! The earlier you start the higher the chances for you to book the date, venue and vendors you love.

🧡 2. Figure out what’s important to you
Figure out between you WHAT MATTERS TO YOU about your special day. Figure out those main elements and plan your wedding around them. Everything falls into place when you know what you want. 👌

🧡 3. Set a realistic budget
Budgeting is hard enough in everyday life let alone budgeting for a wedding when you haven’t done it before or have any idea of how much things cost. This is when researching and getting quotes comes into play. Research your elements and decide what you are willing to pay for each one. Draw up a spreadsheet and you’re good to start booking your vendors.

🧡 4. Create a wedding email
Although this isn’t necessary a lot of people find it so much easier to keep track of emails, invoices, documents etc when they aren’t hidden within all your other personal subscriptions and random junk you have flying into your inbox. If you’re anything like some people I know (not mentioning any names 😂) and has 3,000 unread emails in their inbox then this is something you need to do ... like yesterday. 👌😂

🧡 5. Love your Plan B
Create a Plan B / Wet weather option that you actually love. This prevents refreshing the BOM weather website every 2 minutes and completely stressing out about a little rain on the day. By having a wet weather option, you actually love there’s not going to be any stress or disappointment on the day if it does indeed rain.

DID YOU KNOW … That your guest list is a major factor when drawing up your wedding budget. 💵 Knowing a rough guest number at the start of your planning can make decision making easier or at least rule out options that won’t work for your sized wedding. Elopements, micro and smaller weddings are extremely popular at the moment. Couples are able to splurge on things / vendors / aspects of their day that THEY want by only inviting those that mean the most to them. DON’T DO IT! 😬 If there’s one thing to know about weddings is that they can add up fast. Deciding to skip this step or at least not creating a budget from the start can be crippling. Let me give you an example. 🫤 You go and put a deposit down on a beautiful venue for $16k which includes accommodation for you and your 40 guests. Amazing woo job done. You then start thinking about who you need to start booking next. You say ok we now don’t want to spend over $25k … but now you realise the venue doesn’t include catering / bar services just purely the venue hire and accommodation. And everything you were planning originally now doesn’t fit into that total budget amount. #truestory Number one first thing you need to do when planning a wedding is to sit down with your partner and figure out exactly how much you are willing to spend and before you book anything research the pricings / vendors you wish to book. About Olive Rose Weddings

How did you get into wedding planning?

I first knew I wanted a career in the wedding industry when I first got engaged. I instantly fell in love with all the pretties, the expos, the pinteresting and all the amazing ideas and themes. During my engagement I completed my Certificate in Wedding Planning & Styling. The day after my wedding I knew I wanted to create my own wedding planning business to limit the stresses of future brides planning their own weddings. I completed my diploma and drove straight into the deep end.

What kind of weddings and events can you arrange?

Anything you can dream, I can create. Where there’s a will there’s always a way. I am very resourceful and can help you with ideas and strategies for any sort of DIY projects you wish to create or for the luxury brides I can source/hire the items to make your day the way to pictured.

What’s the story behind your business name?

People have asked me multiple times … Why Olive Rose? Or have just started calling me Olivia.

‘Olive’ is my Grandmother’s name and ‘Rose’ is the flower that remind me of her.

My Grandma is incredibly important to me and naturally I wanted her to be at my own wedding. 3 months out from my wedding she had a stroke and was hospitalised and needed to learn how to walk and talk again. Basically, had to relearn everything we all take for granted. She worked so hard to get better to make it to the wedding but unfortunately had a set back the day before and couldn’t attend. Remarkably she has made a full recovery and is living in her own home once again.

I named my business after her because even though she couldn’t make it to my wedding she will forever be with me to all the weddings that I plan and attend.

What was your own wedding like?

It was such an amazing day. So perfect and magical, I got to be a princess for a day which is everything I wanted (especially being such a Disney fan).

We got married at the St Bernard Hotel in Mount Tamborine. I woke up the morning of our wedding and it was just bucketing down with rain. We were meant to have a garden ceremony overlooking the gully below, however the entire day it poured with rain. But being a ridiculously organised person, I always had a plan B. We decorated the reception marquee and wala a beautiful space to get married. It was so lovely with all the beautiful fairy lights it made it all that more magical.

Sure you’re going to have a few hiccups on the day but it’s what you make with what you got that makes it an incredible day. My advice to brides to be is to not to worry about the small minor details and to just laugh off any hiccups or mistakes. I had my brother as the music guy all day and he stuffed everything up and it ended up being the funniest thing of the day. Cherish it, the day goes in a flash.

Top 5 tips for a stress free wedding day

Be Prepared

Make lists, create a Plan B for unexpected weather, create an emergency kit and have every piece of information in a binder where everyone in your bridal party knows about it. With these tools you will be on your way to a stress free wedding.

Hire a On the Day Coordinator

So many couples think they can do it all on the day and that’s totally fine. But wouldn’t you rather be a guest at your wedding and not a staff member? By hiring an On the Day Coordinator they will take care of literally everything (coordinating the vendors, music, guest and those forgotten details) and all you need to do is just soak in all the awesomeness of being the centre of attention.

Don’t leave things to the last minute

Don’t attempt to get all your beauty treatments (manicures, pedicures, hair, tan and waxing) done the morning of the wedding. By getting everything ahead of time saves you from the stresses if something goes wrong but also frees up your day to actually enjoy it with your girls and to create some really special memories.

Make sure someone in your bridal party knows how to strap you in and bustle your dress

This comes in under being prepared but really needs its own section. No point on buying the most beautiful dress in the world and not having a single person that knows how to strap you in or bustle your dress after the ceremony. I suggest taking your mother and one of your bridesmaids to your fitting to learn how to do these 2 things. Don’t just rely on a safety pin and your girls knowledge of wedding dresses.

Be in the moment

Just remember you can’t control everything! And if something goes wrong it’s not the end of the world and in most cases, can be fixed without any issues. But if something really bad goes wrong, well you’ll have a fantastic story to tell for years to come. If your smiling the whole world will smile with you. Have a fantastic day and just relax and enjoy all the things we take for granted because it’s your day to shine and sparkle. You deserve it.
