There are 2 main questions I often get asked by couples when it comes to planning their wedding reception.

The first is, “What is the difference between cocktail and plated reception?” Followed by “which one is better for us?” The answer, there is no simple answer.

As a planner we unfortunately cannot make that tough decision for you. We can help guide and provide as much information as possible to assist you on what is a tough decision that impacts your overall theme and flow of your day; from menu selection, timings, and décor/furniture.

To help our couples with their decision we have created a list of things to consider when it comes to reception planning along with pros and cons of each style.

Before picking a style, we ask couples to consider the following:
· Guest list - How many guests are you looking at inviting?
· Budget – How much you would like to allocate to venue hire, food, and beverage?
· The vibe or atmosphere you are wanting. Would you prefer guest to have a more informal laidback vibe or are you after a more formal or structured day.
· Time - When are you looking at starting your reception and having it conclude. As a guide we say cocktail receptions are usually 4 – 5 hours long and plated are 6 hours.
· The venue size, layout, and setup. Some venues have a set layout that consist of fixed pillars, or the space might be a distinctive shape that you need to work around. Other might have fixed structures to the walls or built in furniture to work around.

Once you have considered these points you then can move onto the pros and cons of each style to see which one is right for you.

Cocktail Reception Pros
· Having a cocktail reception allows the couple more time to roam around and mingle with guests. It also allows guest an opportunity to congratulate you if they were to do so after the ceremony.
· Having a cocktail reception allows more flexibility. You can still include all the formal elements such as cutting of the cake, speeches and first dance. However, you have more flexibility in time to when you would like to do so.
· More creativity and styling – having a cocktail reception allows you to be more creative in terms of how you style your space. It gives you the freedom of mixing high seating with lower seating. Not requiring large centrepieces to fill the tables. It also allows for food trucks, grazing stations, live food stations such as oyster shucking or carvery.
· Having a cocktail reception means that all venues are an option. So even that smaller venue you like may still be a possibility as a cocktail reception caters for more guests.

Cons
· If you are inviting older guests, be prepared for some confusion as some may have never been to a cocktail reception before and don’t know what to expect.
· Furniture – Since there are no tables for guest to sit at, figuring out just how much furniture or seating to bring in might provide a few challenges.
· Speeches and first dance – Unlike a plated reception where guest are all seated, a cocktail reception has guest standing and seated. This means it might be harder for some guest to see.
· Food service – You might be very organised in catering 2 canapes per person but that doesn’t necessarily mean a guest will get that. Some people may take more than one at a time or guests might be missed when the food is going around. This is why we recommend having a grazing table setup at the start and then having 1 – 2 substantials served along with smaller bites or canapes.

Plated Reception Pros
· If you are after a traditional and intimidate reception, then plated style is the way to go.
· Food service – With a plated meal you know exactly what everyone is getting and how much everyone will get.
· Everyone eats at the same time. As plated receptions are more formal in structure you will know exactly what time everyone is eating.
· Easier to style and plan for – As you know exactly how many tables you are having and roughly how many guests are on each table it makes it easier to plan and style centrepieces, cutlery, furniture if you choose to hire.

Cons
· Due to the formal nature of a plated reception, you will spend most of the night seated at the table until all the formalities have finished.
· Some venues charge for staff on top of your venue hire. If this is the case, then plated receptions can cost you more in labour as more staff are required to serve tables.
· Limited menu – Standard packages offer one entrée, one main and desert. For an additional cost a venue will offer an alternate drop for entrée and mains.
· Seating chart – Though each table may have 10 guests trying to figure out who sits with who and where can be a massive challenge that will continue to change as RSVP’s come in.

In a nutshell a cocktail reception is an informal, relaxed, and laidback style while plated is traditional, formal, and structured. Whatever style you choose as a couple your day will still be perfect as it reflects you both and the love that you share.

As someone who has assisted many couples in the wedding planning process, I can tell you that some truths about wedding planning are often left out. Here are 5 of them:

Guest List: Deciding whom to invite to your wedding can be a sensitive topic for some. It is important to remember that it is your day; you should invite those who matter to you.

DIY vs. Hiring Professionals: While DIY projects can save money, they can be time-consuming and may not turn out as expected. Hiring professionals can ensure you get the best value for your money.

Contingency Plans: It's always wise to have a contingency plan in place in case something goes wrong with a vendor. Whether it's a backup vendor or a plan B for your wedding day, having a contingency plan can help ease stress and ensure everything runs smoothly.

You Can't Please Everyone: With so many people involved in the wedding planning process, it can be hard to please everyone. But remember, it's your day, and ultimately, the decisions should be yours.

It's Worth It: Despite the stress and expense, planning a wedding is all worth it. It's a special day that you will remember for the rest of your life, and it's a celebration of love and commitment with your closest family and friends. So, don't let the challenges of planning a wedding deter you from creating the wedding of your dreams.

Do you require an On The Day Coordinator/Setup?

Simply put, YES.

Now let me tell you why.

Your morning is already stressful and jam packed with makeup, hair and photos why add the additional stress of having to setup the venue with family and friends. As an on the day coordinator/setup we take away the stress of having your family and friends collecting and setting up your DIY items.

We also work along side you and the venue to create the best layout for your day. Then we deal directly with the vendors making sure they all have a copy of the floorplan and timeline.

On the day we oversee the setup of all vendors and handle discretely any problems that may arise allowing you, your family and friends more time to sit back and enjoy the special day.

We are big believers in first impressions last. This is why we choose to light all candles during the ceremony and here is why:

1. Lighting candles can be a very time consuming task especially if the candles are not ready to go (wick has to be up and they need to be burned off a bit before lighting so the candle wont tinge the holders.)

2. You don't want to be walking around while guest are enjoying their pre-dinner drinks and canapes.

3. The reception room needs to be set and ready for photographers, videographer and couple to walk in and take the first look/photos of the setup before the guest enter.

4. Finally, first impressions count! Having guest walk in to a lit room creates atmosphere and warmth and sets the tone of the night.

Extra Tip - purchase long lasting candles. This will allow them to keep their burn until the end of your reception with no dripping.

Ciao, It has been a hot minute since I’ve last introduced myself to you and since then we have gotten a few new faces to our socials. So I thought it was about time I re-introduced myself.

So let’s start with the basics. Ciao, I’m Lisa and I’m the master mind that created, BEHIND THE EVENTS. If you can’t already tell, I’m Italian so I’m loud and talk with my hands a lot.

Now for the fun facts:
💍 I’ve been in the both the wedding and event industry for 12 years - I’m currently working part time in events as well as running Behind The Events.

👩‍🎓I hold a few degree in Public Relations, Sports, Recreation and Event Management and finally Wedding Planning and Styling (yes, I’m one of them - an over achiever)

🐾 I’m a dog mum to two very cheeky but equally as gorgeous pups who are named after Disney characters of my favourite movie (want to try and guess?)
