Come with us for fly in and out site visit to Melbourne. This day was to see the venue and meet with our planner from the MCEC to go over key details for an upcoming conference we are managing for the Organ and Tissue Authority in May.
We always try to get to the venue at least once before an event to not only see the space in person, but to have a face-to-face meeting with the event and AV planner from the venue to go over things such as floor plans, timings, access and all other specific requirements we need for the event.
Some tips we’ve refined over the years are:
1 – always have an agenda of the things you want to discuss and get out of the meeting
2 – print out or have access to the current floor plans and venue order/proposal
3 – have your draft event agenda/program and run sheet ready to discuss with the planners
4 – take photos and videos of everything
5 – take lots of notes of all the things discuss so you can action them afterwards
6 – bring along key decisions makers or stakeholders as needed
7 – conduct the visit when you have a fairly good idea of all your requirements, timings and numbers, this way you don’t have to keep changing things as you have a clear picture of what your event will be.

The meeting included 3 full days of education and training as well as activities, dinners and finishing up with an awards evening.
@keitoevents worked closely with our client to handle design collateral, venue coordination and guest experiences.
Being onsite meant we could ensure the program ran smoothly and our client could enjoy being immersed in the event.
The event was a huge success with attendees enjoying an incredible location and celebrating their achievements as a team!
