TOPCLIFFE & ASENBY VILLAGE HALL COMMITTEE MEETING

A brief report.

Committee Chairman Richard Byas opened the meeting with Matters Arising from the last meeting and moved onto the recent installation of the Village Halls Wi-Fi which has successfully been in operation since the beginning of August and working well.

- The external sensor lights issue has been addressed and are now working properly.

- The rerouted pipe work installed following the repair of the leaking pipe has been boxed in by Malc Morley and the front of the Hall has been professionally cleaned.

- Treasurer Linsey Payne reported that although the Leakage Allowance Refund was progressing, albeit slowly previous Treasurer Tony Bruce did feel we were making progress but she did state nothing was agreed and until it was we must not incur any additional expenditure.

- Helen Fothergill stated that the Hallmaster Booking System was working well and in discussion with Doug Allan reported that Community First Yorkshire had requested a booking for a day seminar in the new year which he had been invited to address their meeting.

- The Committee have been approached to have a signal booster for smart meter communication to be installed on the Hall roof for an annual sum. The Chairman agreed to meet with their representative to evaluate and hopefully agree.

- Malc Morley wondered if an “A”board could be placed outside the Hall to advertise when the Library was open. Committee agreed.

- Fund Raisers, the Alex Scott Concert and the Annual Produce Show had both raised a considerable amount for the Hall.

- This Saturday the Late Summer BBQ and Boogie Night looks to be following suit with ticket sales strong, especially this week, with a few left at the Post Office or phone Jim on 07761501820.

- The Christmas Fayre is on Saturday 16 November and the Horse Race Night Feb 22nd 2025.

- The Next Meeting will be on November 12th.

BBQ & BOOGIE NIGHT Saturday 14th September 2024 in The Village Hall dance 🪩

Only a few days to go untill the event and all is building for a great night 💃🏻 🕺🏻
Not only will there be Eating and Dancing, here’s just a sample of some of the raffle prizes on offer;

Just three weeks to go until the Topcliffe & Asenby no Produce Show on Saturday 31 August.

It will be held at Topcliffe & Asenby Village Hall and there will be 83 classes in five categories: 47 horticultural classes: 17 baking, jams, preserves and pickles classes: 3 floral classes: 11 hobbies classes and 5 specific classes that only children can enter. The full list of categories and show rules, together with timings on the day, are available on the website https://www.topcliffe.org.uk/village-hall/produce-show/

On the day:
Entries should be taken to the Village Hall between 9am and 11.30am.
Judging 12 noon – 2pm.
Public viewing of exhibits from 2pm
Trophy presentations and raffle at 2.45pm
Removal of exhibits by 3.30pm.

Late Summer BBQ and Dance 🪩

Jim Shaw, Andy Findlay and Malcolm Ealand are organising this special event to help raise funds for the Village Hall.
It's on Saturday 14 September starting 7.30pm. After the BBQ there'll be music and dancing.

Book Exchange 📖 📚
Have you got any books you want to get rid of?

If so, please take them to the Village Hall Library before Saturday 17 August.
You can get access whenever there’s an activity on in the hall. Our plan is to look through any books left at the hall to renew existing library stock, some of which have been on the shelves for many years.

We’ll then be taking all surplus books to Baldersby St James church so they can be included in the Book Fair on the 7 and 8 September.

Village Hall Library 📚 📖 📕

Did you know that there is a library in the downstairs committee room at the rear of Topcliffe & Asenby Village Hall?
This question is asked because a resident recently expressed surprise that there is a library in the village.

The library has been there for several years and is free to use. There are shelves of fiction novels by all the leading authors, plus some factual books.

Topcliffe resident Peter Manning pops in every week to keep the book shelves tidy. There isn’t an opening time as such. That idea has been tried and people rarely turned up. Regulars tend to call in when they know the hall will be open, such as when Soup and Sweet lunch or Boccia Club are on.

If there’s a private event underway, a polite request to be allowed to walk through to the library will usually get approval.

Topcliffe & Asenby Village Hall Committee Meeting 📖

Yesterday evening committee members paddled ☔️ their way and braved the downpours to the Village Hall to attend their bi-monthly meeting.

Chairman Richard welcomed Steve Gallon as an invited observer on behalf of the Asenby Parish Council.

After formally approving the minutes from the last meeting the members went on to discuss the ongoing matter of installing Wi-Fi within the hall.
Tasked with researching, Jim Shaw advised of the two options, wired broadband or a mobile modem. Not having a telephone land line, a survey would have to be carried out and cost could not be calculated. Alternatively if a strong enough signal could be established a mobile Wi-Fi using the 4g Network could be used. Jim went on to demonstrate using a mobile modem and yes members did log on to the internet.
It was agreed a trial at minimum cost should be carried out to see i it was functional and a benefit to the Hall.

Malcom Morley had replaced and repaired the trestle tables in time for the Produce Show. He also said the re-pointing of the wall above the emergency door would go ahead weather permitting.

The Committee had established a WhatsApp group since the last meeting and was doing its job.

The Ceilidh on the 22nd June had been a great success bringing much needed funds to the leakage project, Sarah Barber and Jane Burnett were applauded for putting on such a great show.

With the lack of action and clarification by the providers of our water, the dispute still rumbles on. Past Treasurer Tony advised he was still pursuing our suppliers and hoped for some news in the coming weeks. Because of that, the committee unanimously agreed that any planned large expenditure would again, have to wait.

The bench kindly donated by the Bowing Club has been treated and is a welcome addition to the front of the Hall.

Up and coming events are the Alex Scott Concert 17th August with tickets moving very quickly it’s wise to get to the Post Office or contact Doug Allan before it’s too late.
Also 14th September the Late Summer Barbecue & Disco to Boogie on down to.

Gerri Clifton wondered with the recent interest in board games if there was any interest in organising a board games club. Members considered it a good suggestion and maybe she should see if there was interest by possibly asking the question of residents via social media.

It was agreed the next meeting would be held September 10th. We hope this report is useful and informative.

We're appealing for information about a burglary that took place at Coxwold Village Hall.

It happened between 6.30pm on Sunday 9 June and 8.15am on Monday 10 June.

Damage was caused to an internal door and cash was stolen from the premises. We are appealing for any witnesses to the incident and any information around those responsible.

Topcliffe & Asenby Village Hall Committee A.G.M

It was all change at the A.G.M. last evening. Long standing member Andrew Eckersley, Chairman for the last 14 years retired. A brief speech from an also retiring Treasurer Tony Bruce, thanked Andrew for his tireless effort and leadership during his tenure, siting the huge improvement within the Hall including the toilet facilities and kitchen to name just two of the many actions he had personally overseen.
Tony himself will be standing down in September staying with the Committee to assist our new treasurer Linsey Payne if required.
Richard Byas took over from Andrew as Chairman, Malcolm Morley Vice-Chairman, Helen Fothergill, Bookings Administrator taking over from retiring Nicky Wood, Emily Collard Minutes Secretary and Chrissy Findley became Assistant Treasurer.
Other Committee Members are Doug Allan, Geraldine Clifton, Sarah Halshaw, Anne-Marie Mulley, Linda Robinson, Karen Tomis-Morley and Jim Shaw.

As reported in the sunday email the first of the proposed Fund Raisers to help with the water leak repairs is A Ceilidh, organized by Sarah Barber, featuring the Cod Beck Ceilidh Band.
Tickets can be purchased in advance for £10.00 from The Topcliffe Post Office, Sarah on 07885 386557 or Jane Burnett on 07902681296.
On the door price is £12.00. There’s a Pulled Pork and Apple Sauce Roll included (Alternative for Vegetarians) and an excellent Raffle.

Get those tickets bought to support our Village Hall and we can all have a great knees-up on the night!

Brief Report on Topcliffe & Asenby Village Hall Committee meeting

On Tuesday 19 March the committee met and, following an introduction and welcome to five new committee members, it was agreed that the recruitment campaign for new members through The Tattler and The Sunday Email, had been a notable success. Doug Allan was congratulated on conducting it.

Helen Fothergill was welcomed as our new Bookings Administrator. Thanks were conveyed to Nicky Wood, who has stepped down from the committee, for all the work she has put in, especially undertaking the setting up of the Hallmaster booking system,

Malcolm Morley reported that now the water leak had been fixed hopefully the contractors would complete the remaining unfinished groundworks this week. This would tidy up the area to the side of the hall.

Following on from that, Treasurer Tony Bruce gave an update on the water leak saga. The good news is that the village hall’s insurers have agreed that the contractor’s costs will be reimbursed under the insurance policy. That still leaves some financial issues to be resolved and it is hoped these can be settled fairly soon.

Karen Morley’s coffee morning held on 8 March contributed a fantastic £810 to village hall funds. The committee thanked Karen and her helpers for their support and noted that several other committee members and village residents have plans for fundraising events to help boost village hall funds.

Proposed fundraising events include a Ceilidh in June, a a Summer BBQ and Disco Dance in July, a concert featuring a solo artist, Alex Scott, in August and, hopefully, the ever- popular Horse Race Night later in the year.

The committee also noted that a very generous anonymous donation of £500 has also been received.

The next meeting will be the AGM on 7 May when sadly some long standing committee members will be standing down, including Chairman Andrew Eckersley and Treasurer Tony Bruce.

The coffee morning held on Saturday at the Village Hall was an amazing success.
It's not certain how many attended, but the hall was full and extra chairs and tables had to be put out as more and more people arrived.
Organisers Karen & Malc Morley and their many helpers, put on a wonderful selection of cakes and other goodies.
It was a most enjoyable occasion and it raised more than £800 for village hall funds!

Karen has asked that a big thank you is given to everyone who baked for the event, to those who provided raffle prizes, those who volunteered to serve refreshments and to those who popped in on the day.

And you'll probably all agree that Karen deserves a special thank you all of her own for the fundraising she does in our community.

Village Hall committee members
The Village Hall Committee is continuing its search for new members.

The new Bookings Administrator, Helen Fothergill, will join the cpmmittee, but more volunteers are needed as a number of existing, long-serving members, including the Chairman and the Treasurer, are retiring this year.

As these changes fast approach, new members of all ages and backgrounds are needed to ensure that the village hall remains viable and successful.

In particular, someone who is well organised and comfortable with numbers is needed to take on the job of treasurer - an absolutely crucial role. The current treasurer is happy to provide a six-month induction period to guide and support the new person whilst they familiarise themselves with the work.

The application deadline for the Bookings Administrator position with Topcliffe & Asenby Village Hall closed at 9am on Sunday morning, 4 February.
The committee had by that time received sufficient applications for it to be able to make a choice and thanks applicants for their interest.
Applications received after the time stated cannot be considered.

The Village Hall Committee is on the lookout for someone with an administrative and/or financial background to run the hall's online booking service.

There's an electronic booking service in place but this needs an element of management and liaison with users. An honorarium will be offered at the rate of £15 per hour and by trial and experience it is anticipated that between 6 and 8 hours per month will be required.
