Your Future Plan Festival 2022

This is the fourth year that InEvents has worked with the University of Gloucestershire on their Your Future Plan Festival. This year’s event remained mainly online but some short courses were delivered in person.

Emma from InEvents worked with the Your Future Plan team on the event. She supported with the planning, and engaged, liaised and briefed the external speakers.

This year’s event focused on Life Design. Day one kicked off with the students looking at their current life, where they want to go, and how to get there. It was a face based and fun session.

Day two was split into two parts. It opened with two industry panels that focused on what the future of work will look like, with the afternoon having panels made up of University of Gloucestershire alumni.

Day three opened with sessions on resilience and imposters syndrome, before the students had more pearls of wisdom shared with them by alumni.
The last two days of the week had the students taking part in practical courses around skills they will need in the workplace.

Worcestershire Education Awards 2022

The team behind the Worcestershire Education Awards wanted to be cautious when planning their awards for February 2022 and decided to keep them as an online-only event. No one knew what the fallout from Christmas 2021 would be. The format also worked well for them and their sponsors.
InEvents teamed up with Media Inventions again to produce the event.
We decided on Matthew Burton as host, who featured as one of the teachers on Educating Yorkshire. Matthew brought a real credibility to the awards with his warmth, subject knowledge and passion for education.
The awards had a shake up from the 2021 online event, with new categories for young people introduced. This meant there was now a mix of categories for teachers, support staff, lockdown heroes and young people who have been doing exceptional things.
The awards this year featured messages from a new crop of celebrities including David Seaman, Ralf Little and Jerry Springer.
The Worcester News team from Newsquest will be keeping their awards online in 2022, with the Health and Care Awards taking place later in the year.

South Wales Argus Health and Care Awards 2021

This year’s South Wales Argus Health and Care Awards were streamed on Facebook. The awards focus on those working in the NHS but there was also recognition for those working in private health care.

The awards told the story of people like Jill Bowen and Jonathan Pearce from Hospice of the Valleys. Jill and Jonathan have worked tirelessly to provide a specialist bereavement service for children in the Blaenau Gwent and Cwm Taf areas. Research shows that children whose grief is unacknowledged frequently develop serious mental health issues later.

It also told the story of finalists like the Advanced Diagnostic Team at St Joseph’s Hospital. The team look after two cutting-edge, artificial intelligence-enabled, imaging assessments that can identify a wide range of respiratory and cardiac conditions, potentially in their earliest stage. They are making a huge difference to patients at St Joseph’s Hospital.

Finally, the awards also told the story of organisations like Bridge Dental Care. Plans to maintain an ongoing service, especially for dental emergencies and those in pain, were put in place even before the first lockdown was announced. Extra staff were recruited and trained to help with the increased levels of work involved.

Western Telegraph Health and Care Awards 2021

This was the second time that the Western Telegraph Health and Care Awards have gone online. The awards followed a similar format to the previous year; however, we refreshed the look and sound of the event.
The awards had celebrity messages, as with the previous year’s, but this year we focused on getting messages from those in the medical profession or those playing doctors and nurses on TV. The messages included ones from Dr Frank Atherton and Dr Hilary Jones.
The awards were hosted by Dr Dawn Harper. Dawn is a practicing NHS GP and has worked in the NHS for more than 30 years. For the last 12 years she has also worked extensively in the media. Probably best known as one of the presenters of Channel 4’s BAFTA award winning Embarrassing Bodies, which has now been shown in 120 countries across the world, she has presented several other shows, such as the Channel 4 series ‘Born Naughty’. She has authored 12 books, is a keen supporter of children’s and health charities and is regularly asked to comment on medical headlines on live television and radio.
Dawn brought a real warmth to the awards as she told the finalists’ stories.
The Awards were streamed on Facebook on 9th December.

South Wales Argus Business Awards 2021

Prior to the pandemic, the South Wales Argus Business Awards was a well-established event in the Newport calendar. When Wales went into lockdown the awards were put on hold. As things started to open back up the team at the Argus wanted to reward the businesses that had come through the pandemic and found new ways of working.

The awards were set to take place online in November. The criteria were altered to reflect the changing times and entries flew in from businesses looking to showcase their achievements over the past 12 months.

InEvents worked with the team at Media Inventions, who produced the awards video, including two days filming with the host and award sponsors.
The awards were hosted by Professor Jonathan Deacon who teaches at the University of South Wales, and is a business expert.

InEvents sourced videos from local and international business heroes like Steve Wozniak, Bobbie Brown and Douglas Perkins (who founded Specsavers) and is from the Newport area.

The Awards were streamed on Facebook on 18th November.

To date the video has had over 2.8K views, 150 comments and been shared 13 times.

The National Environmental Awards 2021

The National was launched on St David’s Day in 2021 as a new digital news service for all of Wales. The owner, Newsquest, aimed to offer something different to readers, covering Wales at a national level and from a truly Welsh perspective.

Their business model is different from their other news sites in that their journalism is mostly funded by digital subscribers. By subscribing they support a stronger Welsh media and help them to write the stories that matter.

At The National they’ve prioritised coverage of the environment and climate change because they want to educate and inform people to make choices that will preserve their beautiful country and beyond, for future generations.

Through their regular coverage they aim to share, educate, tell the story, and engage Wales in a discussion around climate change and the environment. The National Environmental Awards are part of that ongoing campaign.

With The National Environmental Awards, they wanted to celebrate all those that have risen to the challenge of a global problem, finding local solutions that can make a big difference. The awards share stories and create a permanent record of all those incredible people and businesses that champion the cause.

The awards were hosted by proud Welshman, Iolo Williams. His passion for the environment and for Wales oozed through the screen.

The Lions Legacy Roadshow Tour at Westbury RFC

Emma, director of InEvents is also a director of Westbury RFC. This is a volunteer role and sees Emma, out of office time, attending meetings and using her skills to try and drive the grassroots club forward.

One of the players at the club nominated the chairman for a prize from The Good, The Bad and The Rugby podcast, which is hosted by Mike Tindall, James Haskell and Alex Payne. ‘Foggy’, Westbury RFC’s chairman was chosen. The celebration of the club and ‘Foggy’ was meant to have taken place in 2020 but the pandemic and lockdown uncertainty saw it pushed back with no new date set in place.

With restrictions lifting, October 2021 seemed like the perfect time to celebrate. TGTBTR, together with Vodafone, will visit four clubs, in total, to help get people back into their clubhouses and celebrate the Lions legacy.

With just 5 weeks to arrange a major event, Emma put on her InEvents hat to pull off, together with the team at Vodafone and TGTBTR, the perfect day of rugby and fun for all the family at Westbury RFC.

The brief was that the day needed to focus around rugby with a game by the ladies, the men, and the launch of the new initiative of Westbury RFC walking rugby.

The Ladies were joined by Emily Scarratt (the English rugby union player) who gave them a team talk before Westbury Ladies pink played Westbury Ladies green.
The three walking rugby teams were kitted out in different coloured Canterbury tops and had special guest players in the form of James Haskall, Mike Tindall, and Alex Payne (who received several yellow cards from the referee, Mr Lamb, which caused much hilarity on the side-lines).

The men had a league game against Sutton Benger, with the celebrity trio joined by Jason Robinson commentating.

Aside from the rugby, Vodafone had a stand with a rugby game on and Lions swag up for grabs, Canterbury had a stand where you could design your own kit, The Rugby Wine Club gave out wine samples, the club had two bars open, Tombola, bouncy castle, craft table and cake and sweet stall. The whole event was supported by the local Lions Club as Westbury RFC’s volunteers were involved in playing rugby on the day.

The day ended with a podcast recording featuring Jason Robinson and Emily Scarratt in the clubhouse. This was followed by a local DJ playing tunes for everyone to dance the night away to.

The day ran smoothly and was really successful, raising lots of money for the club.

While InEvents don’t specialise in consumer events, they can bring their corporate event knowledge and expertise to make consumer events a success too.

The Hereford Times Health and Social Care Awards 2021

After the success of the 2020 online Hereford Times Health and Social Care Awards and with some Covid-19 restrictions still in place, an online award felt like the best way forward.
The awards would follow the same format as in 2020, but the celebrities and host had a refresh.
The awards were hosted by Dr Dawn Harper, a GP and presenter of programmes like Embarrassing Bodies, who was able to tell the finalists stories with real warmth. The awards also featured messages from celebrities such as Katie Piper, Rachel Parris, Antony Costa, Lily Allen, Dr Phil Hammond and Jerry Springer.
The overall winners of the awards were Dawn and Jeremy Daw. Together they ran the Leominster Centre, a day centre for those with dementia, until sadly Jeremy died with Covid earlier this year. Their story, which featured in several award categories, really highlighted what this event was all about; inspiring people who made sacrifices during the pandemic.
We had lovely feedback following the event, such as “Very well organised and appreciate the hard work in coordinating this to keep the event active. Look forward to next year's award and hopefully as a black tie. Well done everyone.”

Energist October 2021 Conference

Energist’s last companywide conference was in February 2019. This October conference was a great excuse to get all the staff back together for some team bonding, a company update, and some well-earned down-time.

The client had a date in place already, but we needed to find the perfect venue. We booked the Kings Head in Cirencester, to include a buffet lunch and dinner. We wanted to allow room for the client’s team to move about and to get plenty of fresh air. The conference room was a large space with lots of natural daylight and high ceilings.

After lunch and a welcome, InEvents facilitated an icebreaker game which encouraged the staff to move around the room and ask yes/no questions to find out what was written on their backs. Once they knew what they were, they had to find their partner.

With the conference over, Energist moved down to the vaults of the Kings Head where they had a buffet dinner, open bar, and a chance to let their hair down.

Wiltshire Digital Drive 1st Anniversary Drinks Reception

Wiltshire Digital Drive started during the pandemic. They recycle and refurbish unwanted tech and redistribute it to people in need.
Their vision is to bridge the growing digital divide in Wiltshire. To make sure that everyone in the county benefits from the opportunities that technology affords us. Just like a bee brings pollen from flower to flower to help the environment, they bring technology from person to person to enable education and bridge connectivity between communities. Recycling, refurbishing and re-using unwanted machines.
The WDD is a non-profit making organisation and every penny raised, or laptop donated, goes directly to support the community in Wiltshire. Priority IT, Naturally Social and Turner and Partners all support on a pro bono basis as part of their corporate social responsibility strategies.
The team at Priority IT safely wipe, refurbish and set the laptops up ready to be used by someone else. Naturally Social deliver the marketing and comms that have led to the successful donation and distribution drives.
To be eligible to apply for tech, organisations must be based in Wiltshire and be a school, college, nursery or pre-school, local council, town or parish council, charity, or voluntary organisation.
Since March, over 900 devices have been refurbished and distributed back out to local schools, families and community groups. One in five schools (primary & secondary) in Wiltshire have been helped by Wiltshire Digital Drive since October 2020.
To celebrate their 1st anniversary and to drive tech and money donations they needed help running a drinks reception with speakers at Wiltshire Digital Mansion.

South Wiltshire Heroes 2021

When filming and producing online awards, like the South Wiltshire Hero Awards, a large part of what InEvents does is support on the filming days to ensure that sponsors have the best possible experience, and so that we get the best performance out of them.

Often the client can’t be at the filming, although, we were lucky enough to have the client present during all the filming for the South Wiltshire Heroes.
When sponsors arrive, it is important for us to make them feel special. We are an extension of our client’s business. Sometimes they may feel nervous or been’ thrown in at the deep end’ by their company and so we try to make them feel relaxed and take the pressure off them. We always tell them that:

• We have loads of time
• We can film them multiple times
• They just need to read what is on screen (although we always encourage them to add their own personality, which we can type in so that they can still read it off the autocue)
• Even if they do it perfectly, we will probably make them do it again, so not to worry if we ask for it more than once!

Many people will then do their filming in a couple of takes. However, it can be intimidating having lights and cameras on you, and let’s face it, being filmed on green screen isn’t many people’s days job, so if we think we aren’t getting the best out of people we:

• Stop and ask them about their business (we are very nosey and love learning about other businesses)
• Tell them about what happened when we filmed the pilot awards and the camera man had to play the part of a sponsor
• Graham, from Media Inventions, tells the story of a professional host who once took 37 takes to do a piece to camera

This usually helps them to relax and we tend to get a good take after this.
Sponsors really add to an awards and it is important that they have a positive experience.

Hampshire Heroes 2021

We know when working with media organisations, like Newsquest on their Hampshire Heroes Awards, they have several factors that drive them to hold the event.

1. They want to promote their newspaper brands to new audiences. How people consume news is ever-changing. Local media are the most trusted news brands and with social media, websites and print they can attract audiences of all ages and lifestyles. Awards are a great way for them to talk and engage with new audiences.
2. They want to champion and celebrate local success. Often the news can feel a bit ‘doom and gloom’. The awards allow the media to tell positive news stories.
3. It is what they should be doing.
4. It is what their competitors are doing.
5. No one in the local market is better placed to run awards than media organisations.
6. They can fish from another pond. Running awards allows media organisations to talk to different businesses that might never normally have a need to advertise in their products. However, awards like the Hampshire Heroes allows media to tap into corporate social responsibility funds and engage with businesses who are only ever interested in branding style advertising.
7. They are a great way of networking with local businesses.

Dorset Heroes 2021

The Dorset Hero Awards, and their sister awards in Hampshire and South Wiltshire, have a slightly tweaked format to the other online awards that InEvents have produced.

The publisher, Bill Brown, wanted to host the awards himself and have celebrities record introductions to the subcategories (categories were broken down into sections like Health, Community etc). Each award was filmed in one long day with the sponsors being filming in the morning and Bill being filmed in the afternoon.

The awards worked really well and had a nice flow to them. We were able to have celebrities play a bigger part in these events; a few recorded longer messages where we could really concentrate on making sure the right thing was said. We were able to pick up a lot of the celebrity films while we were working with them on other events, while others submitted their messages via social media.

London Care and Community Star Awards 2021

In our recent and upcoming blogs we cover how the element of an online awards comes together. Today we are going to focus on how the edit process worked for the London Care and Community Star Awards.

We use Media Inventions to film and edit the awards. We set out a clear timeline. We work with the client to ensure that all the finalists’ images, montage, logos and finalists’ video have been sourced by the deadline and are delivered, along with the presentation, to the editor.

Media Inventions take about two days to edit the awards. A proof copy with a timecode is sent back to us. It takes a few hours for us to go through the first draft and spot any mistakes or tweaks we want to make. Once that is amended, we then send the revised version to the client for their thoughts. There is usually about a three day turn around for their amends to come through. The awards are updated, and a final version is then sent for final sign-off.

The final awards file is large and high resolution. This is sent straight to the client to upload on Facebook, along with instructions on how to do this. The client has the file about a week or two before the awards go out so they have good time to get it uploaded.

Sussex Care and Community Star Awards 2021

The Sussex, and their sister awards the London Care and Community Star Awards, focused on those who went ‘the extra mile’ during the pandemic with awards for teachers, care workers and fundraisers.

This awards followed a slightly different format to InEvents and Media Inventions other online events. The awards opened with the main sponsors, before handing over to Michael J Fitch, who is a magician, and was the awards host. Michael interspersed the announcements with magic tricks.

There also were short messages of support from celebrities between each of the categories. These awards were shorter, about half an hour, with a greater focus on entertainment.

When working on these awards, InEvents collaborated with a Newsquest event manager and so we had less of an advisory and more of a supporting role.

Cornwall Health and Care Awards 2021

The Cornwall Health and Care Awards celebrated those who have worked tirelessly over the last difficult 12 months. As well as having categories for care workers there were also ones for those raising money during the pandemic.

We were able to work with Dr Hilary Jones as the awards host. He is very professional and easy to work with. He does a fantastic job of making people feel like he is in their living room talking directly to them. Having a professional host means the awards run seamlessly and he also attracts a larger audience.

When filming with Dr Hilary we booked a venue close to his home. Media Inventions then builds a green screen studio and film him. The shoot usually only takes a couple of hours. They key is having a slick script on the autocue that Dr Hilary can read off at ease.

When the audience is watching the awards Dr Hilary never looks like he is reading the words. He appears to know the finalists stories off by heart.

Hereford Times Food and Farming Awards 2021

The Hereford Times Food and Farming Awards were an amalgamation of the Food and Drink Awards that last took place in 2019 and the more established Farming Awards which took place online in 2020.

The Awards aimed to highlight farmers and producers in the county and have real farm-to-plate ethos.

The judging was challenging as some businesses where not yet allowed to open. However, the taste test judging was able to go ahead, and the remaining categories were judged from the written entries.

It was important for the hard work of the food and drink producers to be celebrated during the pandemic.

InEvents worked closely with Newsquest on these awards and provided guidance on how to bring the two events together, what categories and criteria to use and how to deliver the judging during a pandemic. Emma, from InEvents also attended the judging to represent the Hereford Times.

InEvents also worked with Media Inventions to produce the awards online.
The awards were streamed through Facebook with a back up stream on YouTube. A week or so before the awards went out Facebook changed their algorithm. This meant that when the awards went out, they didn’t reach as big an audience as expected. Going forward, awards need to have money added to them so that they can have a better audience reach.

Worcestershire Health and Social Care Awards 2021

With England in and out of lockdown, and after the success of the 2020 awards, it was decided that the Worcester News should hold their own Health and Social Care Awards and that it should be an entirely digital event.

We booked venues, hosts and celebrity videos as well as bridging the gap between the production company and Newsquest. InEvents also coordinated with the team producing the “finalist reaction videos” to ensure they had everything they needed, and the files would be delivered on time. We were responsible for putting the script outline together as well as bringing background and images together in the slide presentation which formed part of the awards programme. We also worked with the internal Newsquest team to make sure everything stayed on track and the production company had everything they needed.

We worked through a now tried and tested model. Media Inventions filmed the host, Dr Hilary Jones ,close to his home and the client, Newsquest, and their sponsors, in their offices. The filming took Media Inventions two days in their makeshift green-screen studio. It was then a two day edit before the awards were proofed and uploaded onto Facebook.

Swindon and Wiltshire Health and Social Care Awards 2021

The Swindon and Wiltshire Health and Social Care Awards celebrated the hard work of health and care workers during the pandemic. It was important that, even though we were unable to say thank you in person, that the finalists and winners still felt special.

We approached celebrities via Cameo and Celeb Voice Message websites to get messages for the awards finalists. We were lucky enough to get messages from:

Each of the celebrities gave a heartfelt message to all the finalists. Some talked about personal experiences during the pandemic or when they have personally needed health or social care workers.

The messages really helped to make the event feel special. They also broke up the awards and allowed us to move from one category to another smoothly. The client, sponsors and finalists loved them.
