We know that you're total pros when it comes to planning events and it's likely that you already have all your Christmas party planning in the bag. However, there's always room to add a little extra special Christmas sparkle to your festive events 💫 🎁.

🎅 Give your chosen venue another recce
It may have been a while since you last viewed the venue, so it's worth visiting again and bringing a few team members along with you to refamiliarise yourself. You want to immerse yourself in the setting of your Christmas party and meet the venue staff that will be helping you on the day. You'll be able to visualise your event and spot where you can go the extra mile to make it special.

🎅 Focus on your event attendees above all else
It's easy to get caught up in all the planning and lose sight of the event attendees. If you are planning a work Christmas do for example this would be a great opportunity to celebrate the employees' achievements and make them feel appreciated. You should create a buzz that will have everyone leaving with a smile on their face and feeling well catered to.

🎅 Use food to delight and surprise your guests
It's likely that most people will be having at least one festive meal over the party season, so do be creative and give your attendees something they won't be expecting. Maybe you could have a show-stopping centrepiece, or go for banquet dining options. It's always a good idea to include a few classics, of course, we all love a mince pie or two 😋, but do try to mix it up.

COP27 Net Zero Carbon Roadmap and What It Means For The Events Industry.

Following this year's Cop27, Net Zero Carbon Events initiative officially launched its Roadmap, designed to help suppliers, venues, and businesses within the events industry in their journey to becoming Net Zero by 2050.

So, what does that actually mean for the events industry?

Let's break it down...

♻️ The road map is designed to help event professionals and venues define a pathway towards sustainability, by following best practices and implementing measurements into their efforts.

♻️ Because many event businesses are at different stages of their sustainability journey with varying budgets, the initiative and roadmap are there to enforce measures that penalise suppliers, but also look at ways to make it work within different business structures.

♻️ 225 event operators have signed the Net Zero Carbon Events pledge. They are committing to providing their organisation’s pathway to achieve Net Zero by 2025 at the latest.

The Event Production Show is going 💚💚💚 for 2023!

Okay, so here's what we know so far...

♻️ The Event Production Show 2023 will be taking place at the ExCeL, London. Which has very recently been certified as carbon neutral, it's the very first venue of its kind in the UK.

♻️ For the most part, printing is out! There will be no printed show guides or floor plans instead, attendees will be able to download the new event app.

♻️ The Event Production Show has partnered with You. Smart. Thing. & Ecolibrium to provide tools that empower attendees to calculate their carbon footprint and further offset their balance.

It's great to see The Event Production Show leading the charge in making events more sustainable. This is going to be an incredible event.

Let’s talk about bonfire night events and the music...

If you’re planning an event to celebrate bonfire fire night whether it’s a community or corporate event you’re going to need to consider how you work with your DJ to manage music. The music is pretty much universal but there are a few things you need to consider to ensure the music at your bonfire event goes off without a hitch.

🎆 The setup
Your DJ may need to use a more lightweight portable setup. Some essentials for an outdoor gig are; A power generator, extension cables, additional battery storage, and a protective shelter (more on that later). Check with your DJ that they have this covered.

🎆 Protect your DJ and their gear
With it being an outdoor event mild weather can’t be guaranteed so you DJ is going to need some sort of weather protection in place. On colder rainy events you’ll need to stay warm (ish) and dry so you’ll want to ensure their gear is kept dry too. So, having a weatherproof cover is a must!

🎆 Are they bringing backup music
It’s a good idea for your DJ to bring a backup of their music. We get it that when travelling to a location with lots of equipment can be a hassle and things can get lost or broken in the process. But, having backup music will save your event. If the worst should happen your DJ has got the tunes you need to keep the crowd happy.

Okay, now that Halloween is pretty much out of the way let's talk about Christmas and DJs 🤶🎄...

Chances are you're already on it with planning office Christmas parties. You've got the food sorted, some fun ideas for games and now you are onto the entertainment and booking a DJ for the night.

Christmas office parties are often large with a variety of ages, from junior to more senior employees. This is where having a quality DJ can really make a difference. their extensive musical knowledge and ability to read the crowd will keep the dancefloor thumping all night and give you one less thing to worry about as the organiser.

There are a few things you will want to keep in mind when booking a DJ for your next office Christmas party 🎄🕺...

🎄 Help your DJ to do their homework
Often office Christmas do's are an opportunity to celebrate and recognise the team, it's likely there will be speeches and awards. So, be sure to let your DJ know who are the most important people in the business, how to correctly pronounce their names and provide the timeline and order of the night.

🎄 Do you need your DJ to provide extras?
Will you need your DJ just to keep the tunes coming all night or do you need a bit more? Maybe you'd like them to act as the host for the evening, do you need fun lights or event sound effects for the night? If you do need any extras be sure to agree on this well in advance of your event.

🎄 End on a high note
It may be helpful to think of your office Christmas party like a club night, often people will remember the beginning and end of the night so make sure your final 40 minutes in particular are strong. This is a perfect opportunity to ask your DJ to play a few classic festive sing-along tunes to bring people together in the shared experience.

It's go time!

You've spent the past few weeks maybe even months planning an epic Halloween event. You've checked things off your list and you're pretty sure everything is covered.

That said every event planner needs to have an on-the-day checklist.

Here are some of the key things we think you need to include in your list...

🎃 Take a deep breath and remember you're a pro!
You've put in all the leg work - you've got this! Going into your event day feeling calm will help you to stay confident.

👻 Ensure you have all your important documents!
Whether it's risk assessments, health and safety, dietary needs, content details or a running order ensure all your key documentation is with you, organised and easy to find.

🧙🏽‍♀️ Check in with your suppliers!
Even though you've gone through the brief before the event, you'll still want to check in with all of your suppliers to ensure that everyone has everything they need and everything is going to plan.

At The Event Site we have over 15 years experience in the events industry, so we've seen a lot! But, one of the biggest lessons we've learnt is...

TIME - give yourself plenty of it!

This often means, getting started with your planning as soon as possible. The sooner you nail down your initial ideas for the event, the sooner your schedule for planning can start to take shape. Ideally, 4-6 months is a sweet spot for planning a fairly large event, so ensure you give yourself plenty of time.

Start with the end in mind, by creating a timeline and as soon as possible, start nailing down when decisions need to be made and certain jobs need to be done to keep you on track.

Research in the early stages is really important. This is a great opportunity to look at past events and ask:
❓ What was good at this event?
❓ What didn’t work?
❓ What could have made it even better?
❓ What were the little details that people really enjoyed?
❓ Do I have the right suppliers?

Wellbeing tips for event organisers 💚✨.

Today is World Mental Health Day and we thought it's the perfect opportunity to touch on your wellbeing as an event organiser.

We understand that as event industry professionals you're always on the go and often work unsociable hours. The way we see it's never been more important to put your wellbeing first.

Here are some things you can do to look after your mental health and wellbeing;

✨ Practice mindfulness
It's hard to slow down and notice things in a busy world. Try to take the time to experience your environment with all of your senses — touch, sound, sight, smell and taste. For example, when you eat a favourite food, take the time to smell, taste and truly enjoy it.

✨ Get active
According to NHS UK, being active is not only great for your physical health and mental wellbeing, it raises your self-esteem and
releases endorphins which can help to positively change your mood.

✨ Seek help
It's important to acknowledge what you're going through may be more than an occasional bout of low mood; you may need to get help to support your mental health and wellbeing. According to mind.org "Seeking help is often the first step towards getting and staying well, but it can be hard to know how to start or where to turn to."
So, if you're experiencing;
- worrying more than usual
- finding it hard to enjoy your life
- having thoughts and feelings that are difficult to cope with, which are impacting your day-to-day life
- interest to find more support or treatment.
Then it may well be the time to get help by speaking to your GP.

Back to school 🎓 .

Have you heard the news? and have teamed up to deliver A Greener Festival Assessor Training.

The course is designed to provide students with the skills and knowledge of environmental operations at live events.

The two-week course, can be completed in-person or online, will enable you to undertake and carry out environmental assessments for a range of indoor and outdoor events on behalf of AGF (once you pass).

Em Weirdigan director of Green Gathering Festival said, “The AGF training was great, very worthwhile on a number of levels. The trainers are dedicated, knowledgeable and enthusiastic; the information imparted is useful and interesting; and there were valuable opportunities to make contact with like-minded passionate people involved in festivals and sustainability. It’d be great if all festival organisers did this training.”

Community events happen all year round and cover everything from festival fairs, to national celebrations. The best part about community events are that they provide a platform for people to come together and bond, participate in local activities, raise awareness about particular issues, and even give back through volunteering.

In the end, you can walk away from a live event with something as simple as a good feeling and a great memory… to something as amazing as a new friendship that can last for years.

As event organizers ourselves, amongst the business of the day, we love to take a moment to pause, look around and soak in the atmosphere. Seeing smiles on people's faces, old friends connecting, meaningful conversations taking place and people being present in the moment is priceless.

We know September is a time for thinking of fashion trends but what about event trends? As we step into the last and arguably the busiest time of year, here at The Event Site HQ, we've been thinking about some of the key event trends for the last quarter.

💻 Hybrid Events
According to Dragonfly, virtual events will continue to influence event design and setup. Integrating online and in-person aspects at events will continue. That may be streaming elements or having online virtual tickets in addition to in-person tickets which could increase ticket revenues.

♻️ Sustainability
The push toward making events more sustainable has been undeniable and shows no signs of slowing down.
To ensure sustainability targets are met event organisers will be looking for venues that meet sustainability standards, moving away from single-use plastic and using virtual platforms to reduce long-distance or international travel.

📈 Data & Analytics
In a recent blog post, Sparq predicted that collecting data to better predict the success of your event will be more significant. The rise in virtual events has allowed attendee engagement to be more accurately measured. Quarter 4 will see more event organisers looking to translate the strategies used for virtual events to live events.

Picture this, you've spent the last 3 months planning an important event for a corporate client. This is a big deal for you, as if all goes well, they will work with you again in the future. It's the day of the event and you've got everything under control, things are running smoothly except when you notice the delegates' glazed eyes, people are half asleep and generally bored out of their minds!

You feel disappointment in the pit of your stomach! Corporate events don't have to be boring, it's possible to fit the brief and ensure people are entertained.

Let us show you how...

You need to know your audience. Get the full low down on the team's dynamics, needs and be clear on the purpose of the event - the format of a training event is going to be different to a team bonding day.

Involve the audience as much as possible. Keeping people engaged by grabbing their attention throughout the event, will help avoid boredom. Encourage brainstorming, provoke discussions and promote sharing their experience of the day on social media.

A great way to take the boredom out of the corporate event equation is to encourage your attendees to get moving. This will not only help them stay focused, but it will also ease their discomfort from sitting still for long stretches of time. If you have lots of presentations during the day, you can include periods of movement. Perhaps even start the day with a calming Yoga session or end on a high with a salsa class.

Bring in an element of surprise or fun. Yes, it’s a corporate event, but does everyone really have to act corporate all the time? Why not include some fun elements like a cocktail-making class, apple bobbing or have a three-legged race?
