An event brief is the blueprint for your event, make sure you get it right!

Your event brief will guide our initial discussion.

Having a good event brief will help us in understanding what we need to consider to bring your event idea through the process to finished product.

Here is a simple template to organise your idea and write your event brief.

6 steps to complete your event guide:

1. Who - Identify the target audience for the event, including demographics and interests.

Example: "The event is targeted towards professionals in the technology sector, including engineers, developers, and entrepreneurs."

1. What - Outline the budget available for the event, including any allocated funds for different aspects such as venue, catering, marketing, and speakers.

Example: "Our total budget for the event is $100,000, with $50,000 allocated for venue and logistics, $20,000 for speakers, $20,000 for marketing, and $10,000 for miscellaneous expenses."

1. Where - Specify any critical elements you're looking for in a venue, such as capacity, location, facilities, and technical capabilities. Also, will the event be in-person, online or hybrid.

Example: "We require a venue with a seating capacity of at least 500 people, located centrally with easy access to transportation, and equipped with audio-visual facilities."

1. When - Provide the preferred dates for the event and specify its duration.

Example: "The event will take place from September 10th to September 12th, 2024, spanning three full days."

1. Why - Provide a brief description of the event, including its purpose, theme, and objectives.

Example: "Summit Conference 2024 is a three-day event aimed at bringing together industry leaders to discuss the future of technology."

1. How - Clearly outline the goals and objectives you aim to achieve with the event. Describe the format of the event, such as keynote speeches, panel discussions, workshops, or networking sessions.

Example: "Our primary goal is to facilitate knowledge sharing and networking opportunities among professionals in the field."

Here's the scoop:

What's Bidding?

The bidding and tendering process is a process which a business or organization invites third-party contractors to bid for a project through a document called a tender 😎

Once an invitation to tender has been sent out, individuals can submit a bid in response, indicating their interest in the project 😍

The bids are compared against the tender criteria and a winner is chosen.

This process is complicated and often leaves people feeling overwhelmed, that’s where Go West comes in.

Have you ever wanted to bring an international conference to Ireland but just don’t know where to start? ⏩

At Go West our ultimate goal is to create an engaging and motivating environment for your attendees in the most cost efficient way possible ❤

Here is how we do it:

1. Story telling to immerse event attendees. A uniquely branded event environment immediately immerses attendees in the experience. However, story telling is much more than look and feel. We need to have a cohesive mission and theme seen throughout the event experience to spark a conversation about the topic and goals of the conference.

2. Communicate event purpose early. Emphasising the “Why” or the purpose of the event in the minds of the attendees early will solidify your spot in your target audiences calendars. By communicating the “Why” with your attendees early across all platforms you will increase excitement and visibility of the event.

3. Measure attendee feedback in real-time. Using new event technology you can run polls and questionnaires during the event too see what words, topics, or opinions resonated with the audience and build more on that narrative throughout the experience.

4. Facilitate networking opportunities. In-person attendees want face-to-face connection. By focusing on creating an environment that encourages interaction among guest we can maximise engagement. Typically we do this through breakout sessions, topic tables, personalise lanyards, problem and solution walls etc.

5. Design a collaborative event space. Careful consideration is given to the way in which the event space is set up. Attention must be given to things such as the size of the tables, the layout of the chairs, the availability of whiteboards to give space for brainstorming. We want to create a comfortable and inviting space where attendees are motivated to interact with peers and develop meaningful connections.

2 minute read 👀

Look no further than the leader of Amazon Jeff Bezos who banned PowerPoint in his meetings in favour of memos 🤯

Instead of getting people to kick off the meeting by reading bullet points from the board.

A memo is passed around for each employee to read setting the tone for the meeting before anyone even speaks.

This technique gets everyone focused and engaged from the outset and gets everyone on the same page creating a more meaningful and efficient discussion during the meeting.

By keeping employees up to date with regular memos on developments gives people more time during meetings to have a more proactive discussion.

Here are the top five benefits you might see in your business meetings:

1. Efficiency: Insist everyone read the memos before the meeting begins. The memo gives people a chance to get up to speed on a topic in advance, meaning you can hit the ground running. That saves valuable time.

2. Better questions and discussions: Since everyone now starts with the same information and has time to process it, questions are a lot deeper and more thought-provoking, which makes the discussion more robust. People who have had time to think issues through arrive ready to make their points.

3. A more level playing field: Too often, the same people in a company get all the attention. They're the ones who speak loudest or make the prettiest slides. Before every hybrid event our team will do a full rehearsal of the event to make sure that everything runs smoothly on the day ⭐

During the rehearsal we are:

🟡 Making sure the timings are right.
🟡 Double checking all presentations are working.
🟡 Deciding on the best camera angle for the live broadcast.
🟡 Working with the sound engineer to make sure the audio is okay.
