Top Tips - Guest Management

Managing your RSVP’s will be one of the most important organisational tasks you do in your planning. One of the easiest ways to do this is to create a wedding website. Most importantly, they offer a portal for communicating with your guests in case any updates or changes arise before your wedding day.

This can assist with;
❤️Invitations and Save the Dates
♥️Managing RSVP’s
♥️Communicating information with guests
❤️Dietaries

Information that you should include (not necessarily right at the beginning) is:

❤️Dates/all event details (rehearsal dinner, after wedding lunch)
❤️Accommodation
❤️Transport - timings with transport and pick up locations
❤️Dress Code [black tie, smart-casual, colour specific etc.]
❤️Timings [TIP - ‘Please arrive by 2pm for a 2:30pm Ceremony’]
Wet Weather / alternative venues
Gifts

Some great edding websites [all have FREE options]:

Tips and Tricks PACKOUT 🚚

Not something we want to think about during the planning process as it's thinking about after your amazing day has gone but important to avoid ending your day scrambling to get stuff out in time or paying extra fees!

1. Have a plan, I love including all the deets in runsheets so it's visible and accessible to all. This includes timeframes on when everything hired needs to be gone by.

2. Communicate with vendors, make sure we are all on the same page about when we need to have everything out by or when Marquee, tables etc are on the move, this way we can plan around 🚚

3. Bring food containers! Labeled food containers make it easy for leftovers to get packed away nicely, ready for you to enjoy the morning after 🎂

4. Leave space for extra items missed off the list - rubbish, recycling, cardboard boxes often get forgotten about but need to go!

5. A pre drafted thank you message will make it easy to copy & paste to loved ones and vendors will make it easier to edit, allowing you to soak up married life or your honeymoon ✈️

Tips and Tricks - Ceremony Music

I love music, and am a huge believer that it plays such an important role in creating atmosphere for your wedding, or any event for that matter, but today we are focusing on music for your wedding ceremony! So, here are some top tips for your ceremony music!

1. Songs you need:

Entrance song - a single song that the whole bridal party down the aisle too, OR you can have two songs here, one for the bridal party (bridesmaids/people or groomsmen/people) walking down the aisle, then a second song for who is getting married, this works really well if the couple want to walk down the aisle together, or if you have a large bridal party / or long walk.

Signing Songs (x2) - for when we sign the all-important official paperwork, making your marriage legal! You will need two songs here!

Exit song! What song are you going to happily party down the aisle, too, as newly-weds! Normally a fun, upbeat song maybe one that captures your personalities!

2. Time your walk, make sure the song is long enough for your whole wedding party (or whoever is walking down the aisle) to actually walk down the aisle 😘

3. Make sure whoever is fading the music down, allows enough time to fluff/position the veil/train, hand bouquets over, have a cuddle *or a controversial kiss 💋 before we get into the ceremony ♥️

Tips & Tricks - using a mic 🎤

A microphone will be used multiple times at a wedding; during the ceremony, making announcements, wedding speeches, and toasts, it's important that we hear them! 🎉

🎤 Use it. No matter how loud you think you are, always use it! The audio for content or videography might be captured through the mic. If a mic is available, always always use it.

🎤 Use it well. Microphone positioning is key. Talk into the mic, not over it. You want it to capture your voice! Make sure your voice is directed into the mic, hold the microphone properly, and this will help 🗣

🎤 Hold your mic arm still. Now, as someone who uses her hands when she speaks, I know this can be tricky. We want to avoid moving this arm so the mic doesn't move away from our voice. If you start pointing, looking in a different direction, the mic won't be picking up your voice, and we can't hear you!

🎤 The mic will pick up all sounds, not just your voice. Jinglely braclets, paper turning, sniffing, passing the mic from one person to the other. Good practice is to have the MC (or whoever owns the microphone) responsible for turning the mic on/off. So MC announces next speaker, turns it off while everyone is clapping, turns it own, immediately hands it to next speaker, this avoids unnecessary loud noises.

Tips & Tricks - Speeches

1. Give a time frame, 5mins is perfect 👌
2. Aim for no more than 6 different speeches 🎤
3. Space them out, 3 before dinner, 2 after etc.
4. Help ease the nerves! Make sure they are prepared; do they have their speech, know their order, know where to stand, how to use the mic [MC / Day of Coordinator job]

BONUS: Get guests hyping up your speech givers 🎉🥳 think; special intro songs, guests being as loud as possible. Public speaking is hard, let's make them feel as welcome and excited as possible!
