Ensuring Excellence - Managing Flawless Events

It all started with a discussion between our small group of friends on how we could use the skills we’ve acquired over the years to provide value and service to the community. There is no shortage of experience, skill or talent after all two of us are MBAs from LUMS and the third one is a graduate of COTHM and we have a combined experience of more than a decade. It was a question of what not if.

We went through a process of listing our strengths, our professional experiences and the lessons we had learnt from our experiences. It was only after going through this activity that a mental image started to develop. An image where two management students employ their skills of management in combination with a catering expert who has the experience of providing great food to hundreds of people at both corporate and personal events.

There was consensus on the idea that the best events are those which appear to have come together effortlessly. However, we know from our experiences that this apparent effortlessness takes a lot of hardwork, behind the scenes, and is often a lot to handle when you have other duties to look after and you also lack the manpower to turn things into reality. A great event requires a budget, a little bit of luck and quite a lot of project management which is where we can add the most value.

Once we were aware of how to create value for our community, setting up the plan was easy.

We have broken down the way we’re going to manage events in detailed steps.

Step 1: Identifications

Identify the tangible and intangble goals of the events

Identify the constraints of the project in terms of budget, time, space and other constraints

Identify stakeholders, both internal and external, who have the decision making authority

Identify team members and the roles they’re going to have in the management of the event

Identify all tasks to develop a checklist as well as ensuring that all tasks are manageable

Step 2: Set Deadlines and Milestones

Event date - the ultimate deadline

Booking of venues and vendors along with their down payments

Step 3: Communication

Clarification of roles

Communicating the deadlines

Identify the facilitator who will help the stakeholders communicate with the team members

Regular meetings between the internal stakeholders

Step 4: Track the Progress

Use Gantt charts, RACI matrix and Activity Network Diagram to track the progress and keep the team accountable against their deadlines and milestones

Step 5: Deliver Excellence

No matter how great things are behind the scenes, what people remember is the quality of the final experience. This brings us back to our original promise which is to deliver excellence for our partners.
