Things to consider when planning an business conference at a hotel?
➡️ First make sure you ask if there are any group rates? Does the property have a AAA discount?
➡️ Location! Location! Location! Is the venue you may be considering able to accommodate the guests in terms of being easy to access by car and/or alternate means of transportation? Does the venue have adequate parking and is there handicapped parking available?
➡️ If guests are flying in to attend an event how close is the nearest airport and is transportation readily available (eg. airport shuttle from the hotel)
➡️ What is the hotel’s cancellation policy and is there a charge for incidentals? This is very important for guests to be aware of so there are no surprises at check in.
➡️ Lastly, are the conference rooms properly equipped with the proper technology for any presentations that may take place? Is the equipment functional?
Make sure your planner has all this information ahead of time!
