Things to consider when planning an business conference at a hotel?

➡️ First make sure you ask if there are any group rates? Does the property have a AAA discount?

➡️ Location! Location! Location! Is the venue you may be considering able to accommodate the guests in terms of being easy to access by car and/or alternate means of transportation? Does the venue have adequate parking and is there handicapped parking available?

➡️ If guests are flying in to attend an event how close is the nearest airport and is transportation readily available (eg. airport shuttle from the hotel)

➡️ What is the hotel’s cancellation policy and is there a charge for incidentals? This is very important for guests to be aware of so there are no surprises at check in.

➡️ Lastly, are the conference rooms properly equipped with the proper technology for any presentations that may take place? Is the equipment functional?

➡️ Is the coordinator/event planning company professional?
This aspect is extremely important and should be one of the first decisions before selecting a planner. Are your questions and concerns answered and addressed in a timely fashion? Be sure to either schedule a phone or in person consultation to ensure that the planner’s vision aligns with what will be best for your event

➡️ Are there any professional references that can vouch for the event planner/event planning company?
Don’t just rely on pictures, post, and follower count! Make sure you exercise due diligence so you know what to expect going forward.

➡️ Are there any marketing services outside of the event that the event planner can assist with? Will it be included in the final price? (Advertising online, handling RSVP’s and registrations, keeping track of ticket sales?)
You have an event to plan to see if this very important service is included or if there is a separate charge. Planning an event can be expensive depending on the type of event. Instead of possibly hiring additional staff or assistants checks to see if your planner may be able to assist with some of these tasks. Hint: We absolutely do!

1. Make sure you tour the venue! You can ask us to help you schedule an appointment and we will guide you thought the whole process!
2. How many guest do you have? It’s important to know how big is the place before signing a contract, how many people will fit comfortably?
3. Does it have enough bathrooms?
4. Do you need the venue to be handicapped accessible?
5. How many emergency exits do they have?
