Virtual events are trending….well because it’s our only option to engage with people face-to-face. So how do we capitalize on these virtual event trends to build stronger relationships with our current clients and/or find new clients and business opportunities?

Since virtual events are online, the artwork on the event webpage is incredibly important to entice people to register. It’s a great idea to draw out a wireframe of the event page and edit it before creating it online. There are plenty of graphic design software or online platforms to help create great artwork like Microsoft Publisher, Adobe Illustrator (or InDesign) or my favorite Canva.com (graphic design for dummies – that’s me ;)

TIP: check out other event websites to see what they’re doing. You may not have the budget to create what they do, but you can get inspo and make something amazing.

Virtual Conference Quick Tip: Rehearse, rehearse, rehearse with speakers for live speaking events. If I didn’t say it enough….REHEARSE, it’s crucial!

Speakers need to be comfortable logging on to the site and using the site functions (i.e. muting, screen sharing, etc.). It may take up a lot of time, but VERY worth it in the end.

Virtual bingo anyone? This fun little game is making a comeback online and it’s a great form of entertainment for participants. A colleague of mine meshed it with a wine tasting event where all of the bingo boxes were named after details of the wine. The event had over 200 people participating AND nobody left the event early. Talk about a big hit!

Wanna wrap with a RAP? Virtual events are getting crafty with entertainment. Connect with a live musician who can watch/listen to your conference or talk and create lyrics to perform at the end of the event.

This might not be the prettiest of décor pieces, but hand sanitizer stations will need to be more prominent at large events moving forward. If the cost is a barrier, recruit a company to underwrite the cost or donate them. Sponsor benefits would be a great goodwill gesture as attendees would associate the sponsor company as keeping the community healthy and safe.

Healthy mocktails are trending with Kombucha as a main ingredient. So many new brands are popping up, talk to your caterer or bartenders to give you a great non-alcoholic option. BTW, Hard Kombucha is trending too 😉

Food buffets and large self-serve food station will be going by the wayside after covid-19. Even though the trend for a more free-flowing grazing event has been trending over the last 5 years, people will not want to sit at a table with 10 people they might not know. Start thinking about heavy appetizers on disposables to keep people healthy and satiated. To take it one step further, consider compostable disposables to make it an eco-friendly event. DON’T select the corn-based compostable items unless you know 100% that the waste management company can compost it (the majority of them cannot).

VIRTUAL EVENT IDEAS: Hold a virtual trunk show for VIPs. Send prosecco or champagne to your VIPS and have them Zoom in to see the new goods. If it’s clothing or jewelry have a staff member wear the items so they can see what it looks like on a person. Another good idea, offer a discount.

Now that we are in Spring. How about an installation where guests get a personal poem or haiku just for them. Hire a poet to sit down with a typewriter (those are things people used to use to write books and articles well before the internet) and type a quick poem or haiku after a quick chat with the guest. People will line up for this fun personalized take-away.

Let’s say you have a kick-back outdoor event that’s really casual. Throw VIP guests expectations by creating a really luxurious bathroom. Sound weird? Yeah, but people will be talking about it and it won’t be too crazy expensive.

- Get a big tent, but don’t put the top on, just wrap the poles in a pretty color
- Hang a gorgeous chandelier
- Rent an lounge furniture that seats multiple people on the opposite side of porta-potties
- Bring in mirrors cause people like to look at themselves
- Put tons of lavender bouquets around the room…it just smells fantastic
- Play background music. Spa-like music would work well for the ladies room.
- An attendant might already be included in the porta-potty rental, ask them to stay in there an offer hand towels for that final touch.
- Post a sign at the opening saying ‘This Ain’t No Out-House 😉’ or whatever you like
