Plan BEYOND Crisis
As we are facing a global crisis Corona Virus (COVID-19), the thought of planning a wedding / special event may mean very little to others – but for you, you still have money and emotions tied up, and so many balls in the air. How do you manage without feeling self-centered or losing it all…
Planning a Life Event, especially a Wedding is already taxing, but to plan through a crisis can wipe you out in more ways than one.
So, if you are thinking about cancelling your Wedding or Special Event, we want to share some information with you to consider first.
Please note that most of my Event Planning years (almost 30) in this business, was in the Hotel and Catering field writing the contracts you are probably looking at right now. While I cannot help you to get through everything, here are some things ideas to think about if you are still planning your dream wedding/spectacular event;
DO NOT CANCEL! Remember, this is not just happening to you – it is happening to everyone, so there will be companies open to work with you. If you cancel you may lose out – if you postpone you can possibly defer.
Every location is different, so check your contract for a Force Majeure (Act of God) clause. Call your Hotel or Event facility NOW. Gently ask to speak to who is in charge of making decisions regarding cancellations and postponements.
Not sure what to say – Be humble, but clear. Ask them - How are you dealing with Cancellations and Postponements? Will all payments be transferred to new date? Can I hold a date until I confirm with Ceremony Location? When can I expect the revised contract? Is there anything I need to do? In addition, in some cases, they may not have answers yet, so ask - When do you plan to have an answer, so that I may contact my other vendors?
Make sure to get their name, position, telephone number and email, so that you are able to follow up when needed. Also, after your call - send a follow email summarizing the discussion for clarity.
Once your location is settled, reach out to your ceremony locations, entertainment, caterer, bakery, and other vendors right away; as they are probably juggling a lot dates. Understanding this is the key to your sanity, so call with patience.
You may have noticed I said CALL not email. Facilities and vendors are bogged down in emails, and while you want to follow up with an email, you need to talk to a person in charge to make sure you are on the same page.
Just as important, before you start working on restructuring your plans contact your Maid/Matron/Bestman/Person and ask them to step in to handle Bridal Party and Guests’ questions, until you are able follow up. If you are handling everything, send out messages to inform all involved, that you are looking into a postponement and as soon as you have the details, you will get it out to them. This way they can plan accordingly.
When you are feeling overwhelmed, TAKE A BREAK. Remember, people are less likely to help you when (A.) they do not understand you, (B.) You are short-tempered/rude, and (C.) They DO NOT Like you because you are (A.) & (B.).
Get the information out as quickly as possible, especially to those who are traveling. Our recommendations are to invite all from your “A” List that was not able to make the last date – their calendars may be clear now.
I hope that this information helps, and before doing anything, do your homework and talk things over with trusted others, before making any decision.
