- Sourcing and securing a venue that meet your needs and requirements
- Budget Planning
- Assisting delegates in sourcing accommodation and transfers
- Liaising directly with the venue with regards to requirements, set up, agendas, etc.
- Ensure invoicing to the client is correct and received immediately
- Keeping an up to date record of all invoices received and paid to the venue
- Suggestions and ideas for forthcoming conferences
- Pricing and rate negotiation with potential venues and suppliers
- Observation of booking deadlines and cancellation requirements
- Observation of payment arrangements including deposits
- Attendance estimation, dietary requirements and rooming lists received by client sent to the venue
- All Visual & PA equipment and requirements are met
- Total transparency between the venue and client
- To ensure that no additional or hidden fees are charged unless stipulated in a contract signed with the venue
- Provisional bookings to be released timeously
- To ensure both my client and the venue receive a written working document / brief for the event at least 72 hours before the event
- I will ensure that the venue’s terms and conditions are adhered to
- Any disputes between the client and the venue be resolved immediately with relevant feedback where necessary
