Build your wedding registry EARLY! When some guests receive their Save the Dates, they either want to send you a congratulatory gift OR a gift for the wedding, knowing that they won't make it. Give them some direction by having your registry up early. You can always add to it over time... but having something up, is better than nothing!

Many couples are surprised to learn that you may not be able to walk out of the jewelers with your wedding bands. Many don't keep an inventory at all and only offer show cases... then they order the ring in your size! So be sure to buy your ring early so you don't run into an issue getting it to you on time!

I highly suggest creating a to-scale diagram of your venue for your anticipated guest count, BEFORE you get too far into booking! Not only does it help you visualize your day better, but it'll help you describe the flow of events to your vendors much easier! This means your conversations are more geared towards what might actually happen, not just hypotheticals.

IMO Wedding Party gifts of jewelry that you expect them to wear on your wedding day, needs to be skipped. First, you can totally come up with something more unique than that. But if you wait until the wedding weekend to gift this to them, chances are good they've already purchased the jewelry they plan to wear. So now that money they spent is wasted.

When preparing to reach out to caterers, you should establish the following:

- Time and location of the Ceremony
- Time and location of the Reception
- What time everything ends
- Food Likes
- Food Dislikes
- What Type of bar service you want

Knowing this before starting conversations, makes a better use of their time... and yours!

Did you know that all caterers look at costs differently? Getting a buffet doesn't automatically mean you'll save money! In fact, some caterers charge more for buffets because they can't control portions as closely... Other caterers charge more for plated because it takes more labor to pull off. So just because one caterer says one thing, doesn't mean it's gospel across the board!

If you're looking to book a band, you need to establish if they "request" a stage, or "require" a stage. Different bands hold different requirements... so understand that now, because if your venue doesn't have a stage already, that'll take a chunk out of your budget!

Got an oddly shaped table at your venue? Something other than the standard banquet or round tables? Here's how you calculate the linen size you'll need to cover it!

FOR ROUND TABLES
Inches from floor to table top (PLUS) inches from side to side (PLUS) inches from table top to the floor
Whatever that total is, should be the MINIMUM size you order for that table.

FOR RECTANGULAR TABLES
Same calculation as above, but do it twice... once for the length and once for the width. When talking to your rental company, you'll tell them "I need at least a 120x132 (or whatever the measurements come to for your table!)"

Photography is SUBJECTIVE. What I like, may not be what you like. Just because the trend may be saturated photos with photoshop added sun glares, doesn't mean that's what you need or like! Not a fan of a certain type of photography? Be sure to communicate that during conversations with potential photographers. Better yet... ask for samples of their work WITHOUT those elements you don't like!

Need your band to learn a song just for you? Most bands will require a lead time of 90-120 days MINIMUM to learn a new song. So be sure to get those requests to them ASAP!

Officiants come in all shapes and sizes. You need to decide if you want someone to simply read a script you put together, or spend time with you two to create something unique and a true representation of yourself. Remember, the more time they spend with you or on your wedding, the more they'll charge!

Not a fan of the spot light? Couples just like you do first dances all the time... the key is to communicate the "wrap it up" sign with your DJ. Maybe you spin your partner. Maybe you scratch your ear. Maybe you kiss your partner. Whatever it is, let the DJ know "Hey... when this happens, I need you to fade, or else I might run from the room screaming."

So many couples get overwhelmed by design! Start design by following this step first and it all becomes a little less overwhelming!

What's that step you ask? MAKE A MASTER ITEM'S LIST! List each item (table, linen, chair, picture frame, guestbook, appetizer menu, food labels, bar menus, etc.) that you need for the wedding, FIRST. Don't get hyper focused on the design. Say to yourself "I don't know what this will look like yet, but I know I want it!"

Once you have that list completed, the burden of not knowing what you need is lifted... and you can start talking about the individual items and ordering items accordingly! Trust me, you'll feel a million times better!

There's alot you should know about Hotel Blocks, but here's the main thing you need to understand:

"Courtesy Block" means the hotel will hold the rooms for you at NO obligation to you.

"Attrition Contract" means you are liable if you don't meet the minimum bookings as dictated in your contract.

Be sure to read those contracts and know before you sign!

When we plan with our full service clients, one of the very first things we'll (after establishing the budget) is establish a general timeline. This is a high level timeline that establishes the ceremony time, general flow of events and when the event ends. This helps drive conversations about delivery times, service times, etc, with vendors. So when your vendor asks "what time is all this stuff happening", you'll know!

When it comes time to calculate your alcohol needs, the general rule of thumb is one drink, per person, per hour. So if you have 100 guests and your bar is open for 5 hours, plan on providing 500 bar drinks. Trying to decide between disposable and china? Our recommendation is to sick to china for Family Style and Plated dinners. But for buffets and stations, you can totally get away with disposable... or you can dress up it up with china... completely up to you!

When you're gathering RSVPs you need to make sure you are getting the ages as well. While the *exact* age will vary from caterer to caterer, here is what you can expect to be done with the different age groups:

0-2 years old: No Menu, No Bar
2-12 years old: Kids Meal, No Bar
13-20 years old: Adult Meal, No Bar
21+: Adult Meal, Full Bar Access

When booking your rentals, you'll need to factor in when your venue lets them deliver! Most venues will require that all rentals come in AND leave during the rental period. And if they have promised you something else, you'll need to ask for that in writing!

Because rental companies usually deliver in "windows", chances are good you might need to request a "specific time" delivery and a "late night" pickup. And each of these carry their own unique costs.... so plan ahead while budgeting!

There's a basic formula you should know for booking your rentals...

Amount you NEED
(minus) Amount your venue PROVIDES
(equals) How much you still need to rent

Do this for every table, linen and chair at your wedding... and voila, you've calculated how many rentals you need!
