We get a lot of questions from our couples about their wedding invitation timeline planning and we have a hard and fast rule around here…ready for it?

We recommend you send your save the dates anywhere from 6 to 8 months out from your wedding date and your invitations 6 to 8 weeks from your wedding date. Super simple!

Pro Tip: You may want to air on the side of eight months/weeks when sending invites if you’re expecting a lot of out-of-town guests or if your wedding is taking place during a long weekend/over the Holidays. ✨

Room reveals after months of design planning is always worth the wait. ✨

Design is a huge part of our industry and I completely understand the topic of trends and creating something unique but sometimes, our couples like what they like. They’re not interested in doing what’s going to get them the most views, or what’s “in” right now and we don’t force them to.

We’re in the business of service; when it comes to curating a design, that involves listening to our couples and observing what they’re drawn to.

Do we show our couples what’s possible from a design perspective? Absolutely.
Do we copy and paste an idea without personalizing it to who we’re serving? Nope.
Do we secretly try to push our portfolio agendas around here? Absolutely not.

Working with a planner you trust means knowing, for a fact, that they have your best interest at heart.

Picking and choosing vendors is a HUGE part of wedding planning. Choosing the RIGHT vendors, now that’s the strategic part of the process, but price should never be your only guide. Ever heard of that old saying “you get what you pay for”? This rings especially true when selecting vendors for one of the most special days of your lives.

While it might seem like a smart financial move initially, cheaper vendors can often lead to unexpected costs down the line—be it through inferior products, delayed services, or lack of support.

Sometimes our clients come to us with a vendor they’ve already hired or vendors they want to hire and although we’ll roll with that and ensure the vendor is able to execute to the best of their ability while keeping in line with OUR standards (ha! 😉), when you invest in a vendor with a proven track record, you’re not just paying for a product or service; you’re investing in peace of mind, expertise, and a commitment to excellence.

Remember, a seamless experience should be paramount, ensuring that your time and resources are valued and respected. “Have you worked at our venue before?” A question we’ve received a couple of times over the last little while and I wanted to address this. (Amanda, here!)

It’s quite impossible for any planning company to have worked at every single wedding and event venue on the planet so the short answer sometimes might be no, we haven’t.

If we haven’t worked at a specific venue, we’ve most likely attended an event as a guest at that venue, and if you’re a planner, you’re still scoping out the scene as if it was your event. 😂

Working across multiple cities, provinces, and countries involves partnering with a planner who understands the logistical landscape of space planning. Who has the ability to forecast capacity limitations, vendor production challenges, and of course, a keen eye for flagging guest experience details that could make or break your event.

My advice to couples is to partner with an event professional who has the confidence to ask the right questions from the get go no matter where the venue is located. It doesn’t matter what’s been done or not done before — if there’s a will, there’s a way and it’s up to us to find it and make it happen.

Three things we do when working at a venue for the first time:
1. We jump on a call with the lead sales or venue manager. Fostering strong vendor relationships is a must.
2. We visit the space without our couple first so we can go over all the logistical questions and not use our couple’s precious time during a site visit for the nitty gritty. Unless they want to know. ;)
3. We create 1-3 feasible and realistic floor plan options and preliminary production schedules so we have a plan B and C in case things shift or we need to factor in weather conditions.

Preparation is key and going the extra mile so we can comfortably walk the space with our couple as if we’ve planned hundreds of events at their chosen venue or venues of interest is extremely important.

PLANNING ADVICE SERIES:

It’s always so fun, as an engaged couple, to see photos of other people’s wedding days and get excited for what your day could be like! To you who are in that dreaming phase I say .. dream and dream big!

When it’s officially time to plan and put things into perspective - I lead with the big elephant in the room and that is always the overall spend.

I never want any of my couples to feel shocked at how much things cost because there are obvious costs related to planning an event that most people anticipate and then there are those hidden costs that we as industry professionals know about and need to educate our clients on.

Whether you want to and can invest $90k on your wedding or $250k on your wedding — there is a number that starts making you feel weak at the knees lol. That is the line we do not want to cross.

So, here are a few guiding questions I ask my couples to consider when they’re having that $ conversation together and with whoever will be contributing to the wedding:

1. What is the one thing you remember the most about a past wedding or event?

2. What are the top three areas of your wedding that are the most important to you AND have a financial implication? (ie. aesthetic, music, meal, being in good company)

3. What is the least important to you? As in “the stuff” you really couldn’t be bothered with.

As a planner, these are questions I can’t answer for my couples but the answers are what guide the next steps in our planning process.

Establishing your priorities is such an important step when planning any type of event and it’s what I continue to refer back to as I help you select your venue and curate your team of creative partners. ✨
