📧 You can give them access to the event by adding a members' email address.

Did you know that you can start selling tickets on Cooltix in just 15 minutes?👀 Registration is a breeze, and now we provide step-by-step instructions.💥 Check this!

1️⃣ ENTER BASIC DATA
As a first step, you can enter the name and country of the organization. If you already have a partner account in the Cooltix system, ask the superadmin for help: he can add the new organization to your existing account.

2️⃣ PROVIDING CONTACT DETAILS
We need a contact email address. This is basically non-public data, but if the customer requests the organizer's contact information, we will provide it to him. You can also optionally make a phone number available.

We will also ask you for an e-mail address and telephone number, which are strictly for business purposes, through which we can keep in touch with you. We handle this discreetly and do not make it available to others.

3️⃣ ENTER BUSINESS DATA
You can enter your company type here. You can choose between individual entrepreneur, company and non-profit organization, and you can also fill in the tax number, company registration number and the seat of your company.

📌 Pro tip: if you only want to "sell" free tickets, you can skip this and the following steps, as no financial settlement will be required.

4️⃣ BILLING SETTINGS
You can connect the invoicing program at this point.

5️⃣ BANK ACCOUNT NUMBERS
Set up your bank account where you want your earnings to go. You can set a separate bank account number for each currency.

6️⃣ BUSINESS VERIFICATION
This step is necessary due to automatic transfers, so that we can transfer your earnings immediately after the event. During this step, you must enter company managers and private owners related to your organization.

- if you are an individual entrepreneur, you only need to add yourself;
- if you have a company or non-profit organization, you must enter all owners with more than 25% ownership and the senior officers.

📌 Pro tip: these data are only needed for bank transfers, you can start selling your tickets without them.

📌 HOW TO
If you want to "sell" free tickets, you must set the price to 0. In such cases, our system works as a registration platform: the customer isn't redirected to the payment page and doesn't receive an invoice. Instead, they will immediately go to the payment page, where they can download their tickets.

📌 ADDITIONAL INFOS
- there are no handling costs or Cooltix fees;
- you don't need to choose a payment service provider when setting up;
- it isn!t necessary to enter company data.

📌 You can load data into your newsletter engine in two ways.

1️⃣ MANUAL
1. You download the table containing the customer data from the Cooltix admin, then convert it to the appropriate format for your newsletter system. Then you just have to upload it there and you have your e-mail list.

2️⃣ SEGMENT INTEGRATION
2. You connect the appropriate Segment integration to your event page. After that, all e-mail addresses are automatically entered into the specified system.

Collect data per purchase or per participant!⚠️ You can ask questions about the purchase and the participants, thus collecting the most important information for you for sales.✅ This way you can even ask a student ID number or generate personalized tickets. All this in a GDPR-friendly way.😉

📌 QUESTIONS ABOUT PURCHASE
We ask the customer these questions once per order. By default, the system asks for their name, e-mail address and billing information, you don't need to enter these questions manually. In the case of special questions, you can decide which ones must be answered, and you can even temporarily hide them.

📌 QUESTIONS ABOUT PARTICIPANTS
We ask these questions for each participant, i.e. for each ticket placed in the basket. Here you can set whether the names of the participants appear on the ticket or not.

📌 IMPORTANT
All data provided by customers is made available to the organizers, without exception, in accordance with the general contractual guidelines accepted by the customer. The organizers can use these according to their own conditions. The clauses must meet the requirements of the GDPR.

📌 ENTER THE DOMAIN
This is the subdomain you want to set up as a ticketing location. We recommend using a subdomain (for example, ticket.myfestival.com).

📌 SET THE LOGO
Enter the logo you want to appear on the white label page, tickets, invoice and confirmation email.

📌 CHOOSE THE THEME
You can decide whether you prefer a dark or a light theme, and you can also choose a primary color. This will dominate the event page and the entire checkout process.

📌 ENTER YOUR EMAIL ADDRESS
This is the email address from which we send confirmation emails to customers. You can choose whether this is the default Cooltix email address, a Gmail or Google Workspace email address (only login required), or any other email address (requires smtp settings).

Please note: Cooltix uses a highly optimized email service to maximize delivery success rates. If you choose alternative shipping methods, delivery issues may occur.

Your income is favorable even when selling cheap tickets.🥳 No matter what price you sell tickets for, the full ticket price will always arrive to you.🔥

You can freely set the handling cost, which can be a maximum of 10%. However, if your costs (Cooltix fee + bank card handling fee) exceed this, you can set a higher handling fee.🙌

📌 EXAMPLE
When using the basic package, the maximum handling cost is 10% for HUF 1,000 tickets (which is HUF 100 per ticket), and your extra cost is HUF 110. In this case, the system allows you to set 11% handling fee, so you will receive the full ticket price.

📌 CREATE THE WIDGET
You can create a widget for each event within the admin interface (Event / Marketing / Website integration). You will have to copy and paste this into the code of the landing page, in the intended place of the widget. The code can be copied at any time in the future, so you can change the colors at any time.

📌 SET THE THEME AND COLOR OF THE WIDGET
When creating the widget, you can choose light or dark theme, and you can also set the primary color to match the style of your website.

📌 CHOOSE THE TYPE OF INTEGRATION
You can choose between two types of integration: you can display the list of tickets directly on the website, or you can also choose a pop-up window format. Both versions are implemented within your own website.

📌 UPDATE THE NEW WIDGET VERSION
The widget automatically updates itself to the latest version, you don't have to deal with it specifically. If you are using the old, no longer supported Cooltix widget, you can simply create a new one and replace the old with it. This will update itself in the future.

Enterprising people can set a new record, because our fastest organizer created his event and started selling tickets in 3 minutes. 👀 However, there is no need to rush, you can get there quickly even at a comfortable pace. See what steps you have to go through!

📌 ENTER THE NAME OF THE EVENT
This appears on the Cooltix main page, the event page, the ticket, the confirmation email and the note on the invoice. It can be at least 2 and at most 60 characters long.

📌 CHOOSE THE CATEGORY
This indicates the category of the event, which helps customers to find the event and navigate the site more easily.

📌 SET A COVER IMAGE
The image must have the same aspect ratio as the Facebook cover image (1.91:1) and be at least 700 pixels wide. When setting the cover image, in addition to maintaining the proportions, you can also cut the image to size. You can modify the cropped image by clicking the edit button. To upload a new image, first delete the existing one, then upload the new one.

📌 MAKE A DESCRIPTION
Customers see the summary section first on your event page. In this unit, you can summarize the most important information of your event in a few sentences. There is no character limit here, so feel free to write everything important!

📌 MARK THE EXACT LOCATION
If your event does not have a location, choose the "online" or "soon to be announced" option. If there is no specific address, you can also enter latitude and longitude coordinates.

📌 ADD MORE SECTIONS
You can add additional text, images or videos to your event page to make it stand out to your customers. You can also rearrange the order of these and adjust the position of the ticket list.

Why limit the number of tickets that can be placed in the basket?🤔 Costumers cannot put more (or fewer) tickets in their basket per purchase than this amount, so they cannot temporarily reserve all the tickets or check the number of tickets announced for the event.☝️ We reserve the tickets for 15 minutes, after which we make them available again if there is no purchase.

❗️PRO TIP
You can also set a minimum quantity for the number of tickets that can be added to the basket, but if this is greater than 1 per order, you may not be able to sell all the tickets for your event. Example: You want to sell 100 tickets for an event, the minimum quantity per order is 2 and you have already sold 99 tickets. However, the interested costumer cannot buy the last remaining ticket, because he would be forced to buy at least 2 tickets per order.

📌 ENABLE THE TICKET TYPE FOR PROMOTERS
Choose your own promoters and make sure the accepted payment method is set to cash. Then, in the settings for users, make available the ticket types you want to sell through them.

📌 SEND THE TICKETS
Promoters can log in on a separate platform. They go through the same process as if they were making a traditional online purchase, with the addition of the option of paying in cash. Customers will still receive their tickets and invoice by email, and the promoter can also print it for them.

📌 SET THE STREAM FUNCTION
When creating the event, select the streaming menu item to enable the sale of stream tickets.

📌 ENTER THE STREAM PROVIDER
You can choose between Youtube and redirect link. In the case of Youtube, the stream event is embedded in the Cooltix interface, and if you enter a different platform, the customers will automatically go to that page.

📌 CUSTOMIZE YOUR STREAMING SITE
Set a title and description, as well as the number of allowed entries. You can specify that customers can join with a ticket once or unlimited times. In the latter case, pay attention to possible abuses by forwarding the access link!

📌 NOTIFY USERS
Your customers will receive a reminder about the stream 2 days or 2 hours before the start of the event, and they can easily access the stream interface by clicking on the link in the email.
