ESP Sessions are valuable for our clients who choose to plan an event or conference on their own but need additional guidance throughout the planning process. STEP 9 - Work with marketing on a promotional plan.

Successful events have a marketing and promotion plan to build excitement. If you have a marketing team - work closely with them as they develop this plan.

If you don't have a marketing team, there are many different ways to go about marketing your event – from social media and blogging to online advertising and even billboards – whatever you do choose, each tactic should be a strategic element of your marketing plan.

Components of an event marketing plan:
✅Goals and Objectives - develop specific marketing goals and objectives. It's a way to ensure every effort is working towards measurable results.

✅Tactics - This is what you will use to achieve your goals. This includes everything you will be using such as online advertisements, video marketing, social media, email marketing, public relations, etc. Understand your audience when deciding your tactic.

✅Timeline and Cadence - Start building a marketing timeline.

STEP 8 - Identify Tech Tools

💾Start by identifying your technology needs.
Use of technology will streamline your attendees experience from start to finish.

Ways to use technology:
✅Registration and Ticketing - use of online platforms helps promote event early and more seamless for attendees.

✅Productivity Technology - Events are complex, but project management software helps to alleviate some of the stress.

✅Mobile Apps - 83% of event organizers use an event app. Streamline your communications and enhance the attendee experience with an event app.

✅Live Streaming or Recording - Hybrid events are here to stay! This is a great way to connect and extend the reach of your event. Recording sessions can extend your event’s reach and be later used for advertising, training, etc.

✅Engagement Tools - Technology is changing the way audiences expect to be engaged and events are always evolving to meet those expectations. Think about incorporating onsite technologies to encourage attendees' involvement in the event.

Remember this will all have a cost that could impact your budget!

STEP 7 - Lock in Sponsors, Entertainment, and Speakers.

If you’re planning an event, you might want to get others involved to offset costs. Speakers are a way to add value for your attendees and sponsors (exhibitors) are a way to offset costs.

Speakers:
Look at your agenda, determine how much time you have allotted for speakers. From there determine number of speakers you need to book. When you book a speaker, ensure you have clarity of the FULL cost (airline, hotel, per diem, etc.).

🔷Once your speakers are identified maintain an open line of communication (from booking to day of event). Ensure your agreement with the speaker clearly outlines necessary information like presentation expectations, content deadlines, available technology onsite, and compensation. Be clear about your expectations upfront!

Sponsors
Build a list of sponsors you want to participate in your event. Ensure every potential sponsor brings value to your attendees. Create sponsorship packages that offer varying levels of cost and benefit. Another common way to bring in sponsors is with an exhibitor package.

STEP 6: Plan the Program

Set your agenda as early as possible!

🔷Will you have a keynote speaker?
🔷Will there be an extra day or evening planned just for your VIP/sponsors?
🔷Will there one option for workshops and talks, or do attendees have the choice between multiple sessions at a given time?

Make sure to have your goals and objectives in

Your attendees want to know what to expect, so have the basic framework confirmed as early as possible.

Other Considerations
👉If your event is a full day or multiple day event, you should also think about planning:
✅Food and Beverage. Will you be providing lunch or snacks?
✅Social hour (if an actual hour or call it something else like a "social")
✅Networking opportunities, ice breaker
✅Entertainment.
✅Will the event conclude with a celebration or party?

Halfway through our 10 steps with STEP 5 - Develop Event Branding!

Your event's brand sets the tone, from the event name and theme to the event website design and on-site look and feel. A strong event brand provides a vision and helps to steer the direction of your event.

😃Fun Fact: 60% of US millennials expect consistent experiences when dealing with brands online, in person, or by phone.

When choosing your event branding an event brand should reflect your organization’s brand AND have a brand of its own.

Event branding typically includes:
✅ Event name - your event’s name is the first thing attendees will see - you want it to reflect your vision for the event.

✅Theme. A theme will tie the event together.

✅Logo, colors, typography. Consistency across all marketing touchpoints is a must! On-site decor, email, signage, and more. All these things should come together to support the story you are telling.

With these branding elements solidified, use them across all platforms.

STEP 4 - Select Date & Location

Choosing your location and date for your event will shape the rest of your project plan. Start researching venues as early as possible looking at proposed timeframes established in your scope. Depending on your location, venues are in demand and not readily available without advance planning.

As you start communicating with various venues, ask as many questions as possible to ensure it’s a good fit. Key things to think about:
✅Budget
✅Venue aesthetics (think of your theme)
✅ Location (is it central, easy for transportation?)
✅Other facilities/amenities (hotel rooms, kitchen, bar, restaurant, secondary meeting space, enough restrooms, Wi-Fi, etc.)
✅On-site staff (do they come with venue cost or will you have to pay extra for staff?).

🗒🖊Note: Don’t be afraid to negotiate your rates. Other commonly negotiated items are: free WiFi, AV, or parking.

STEP 3 - Build Your Team

The size of the event will determine how large your team is. Aside from co-workers assigned to work with you, or friends who volunteer, don't forget other team members that are often overlooked.
✅Marketing Team
✅IT - technology is key to most successful events
✅If another department controls the 💲💲they will need a team member
✅ Communications Team
✅ Any other department that may be involved in this event.

Now that your team is in place, ensure you are organized and managing this team. Start with a project plan. A project plan is more than just a to-do list. It’s a detailed breakdown of every single action item that identifies owners, dependencies, due dates, and completion status. You should be able to justify every action item by mapping it to your top-level event goals.
