This venue is going to blow you away! 💥

The views! The restaurant! Rooftop bar! Infinity pool!

The reality - no room to store luggage, inflexible check-in times, fixed meeting room set up, limited vegan menu, no option to buy out the whole space 😟

Is that showstopping venue really going to work for your event? Have you nailed down what's really important and asked all the right questions? 🤔

It's easy to get swept up in the glamour of a venue (just think of the pictures for Insta! 📸), but take off the rose-tinted glasses and look at how the space works for your event, does it give you everything you need?

We are all different and that is our superpower but how do we cater to the crowd whilst celebrating differences? 🤔

Whether you're the first to speak up in a meeting, or prefer to have your say in a smaller group, events should be inviting for all.

And as event professionals, it's up to us to provide an inclusive, engaging environment. Here are some quick wins you can include in your event design right now -

📱 Pre-event - create opportunities to connect with an event app that allows guests to network and build relationships before they arrive.

🎨 Activities - make them inclusive and create a level-playing field where everyone is starting at the same place. Art is great for this, it's fun and there is no 'right or wrong' way to do it. Graffiti for lawyers? You bet! It was amazing!

🧑‍🤝‍🧑 Socialising - don't just place everyone in a large room and expect them to get on with it. Create zones around your venue that allow people to stop and chat in a gentle, non-pre-scripted way.

🎤 Facilitation - make room in your budget for a great facilitator. An expert will keep the meeting flowing and make sure that everyone gets their voices heard. Priceless.

🪩 Party-time! - not everyone will be ready to shake their thang at the end of the day, others will prefer to decompress over a drink and a chat. The chill-out room is where the party is at.

A good brief is the key to event success.

❓ Who should you brief - just your team?

❌ WRONG.

You should be briefing (as well as your team) - the venue staff, your suppliers, your client, the caterers, the guy at the door - yep, be that person.

❓ What should your brief include - just the logistics?

❌ WRONG.

Your brief should also include - the theme, key attendees and event staff, the objective (your north star) and all those things in your head (don't assume people will know!)

Luckily we know just the person to ask. Tanya Goodin ꜰʀꜱᴀ is one of our 'collective' and recently released her new book 'The Teenage Guide To Digital Wellbeing'.

When it comes to Event Design are you a Carpenter or a Gardener?

In her book, "The Gardener and the Carpenter," Psychologist Alison Gopnick describes two types of parenting.

The “Carpenter” parent thinks their child can be molded.

“The idea is that if you just do the right things, get the right skills, read the right books, you’re going to be able to shape your child into a particular kind of adult.”

The “Gardener,” on the other hand, is less concerned about controlling who the child will become, and instead provides a protected space to explore. The style is all about “creating a rich, nurturant but also variable, diverse, dynamic ecosystem.”

It got us thinking about events and specifically conversations around

➡ Event curation
➡ Delegate experience
➡ Designing the event to meet the vision

As Event Designers: Are we Carpenters or Gardeners?

❓How can we create the conditions to influence the desired outcomes?

A carpenter is in complete control of their craft.

➡ Starting with a blueprint
➡ Onto the precise measurements
➡ Sourcing specific material

The end results matching the initial image. You know exactly what you are getting.

The Gardener however takes a different approach creating the conditions and preparing the environment for system to grow

➡ soil is prepared
➡ seed planted
➡ fertilizer added
➡ plenty of water

Constant attention to the seed and its development with unwavering faith, with the above in place, the plant will thrive.

Here are our 5 top strategies to help you:

👉 Co-create the agenda with attendees - we love to feel part of a bigger purpose. Achieve early investment by asking guests for opinions and input on what they want to see. Guests feel seen and heard ❤️
