There are three crucial meetings that we suggest to clients we sit down on—the venue ocular, the meeting with the photographer/videographer, and the meeting with the master of ceremonies.
It is important for the event/wedding planner to be present at meetings with the master of ceremonies, photographer and videographer, and to join the venue ocular because they are the primary point of coordination for all the suppliers and services involved in the event/wedding. The planner/coordinator needs to ensure that the master of ceremonies, photographer, and videographer are aware of the clients' expectations and requirements for the event/wedding day and that they have a clear understanding of the timeline, schedule and flow of events.
Furthermore, by joining the venue ocular, the planner/coordinator can provide valuable insights and suggestions to the clients, as well as ensure that the venue is in line with their vision and budget. They also can ensure that all the suppliers are aware of the layout and logistics of the venue and that the setup will work well with the photography and videography.
In addition, the planner's presence in these meetings ensures that all aspects of the event are considered, planned and executed perfectly. They will make sure that there is a clear communication and coordination between all the suppliers, which in turn will ensure that the wedding day runs smoothly, without any hiccups. They can anticipate and resolve any issues that might arise, allowing the couple to relax and enjoy their special day.
