Are you an event organiser that hopes to keep your audience highly engaged both offline and online during an event? In this age of increased social media proliferation, it is not uncommon to have event attendees and organisers alike stay well connected via the world wide web. Out of the countless different social media websites, Instagram has been up and coming in providing a variety of features that you can utilise as an event organiser. (But first up it’s best to create an account for your company or your event itself if it is on a relatively large scale)
This post by Event360 (www.event360.asia) will be split into sections, featuring Instagram’s capabilities as a whole and tips to work Instagram Stories to your favour for your next up and coming event!

5. Q&A
While this can be done on a segment of live video if staged to do so, opening up your DMs to enquiries from the public and offering answers on Instagram Stories is also worth exploring. Publicly addressing frequently asked questions is both an effective way to allow attendees to feel heard and at the same time get your information disseminated as well. And the lack of permanence also means that different questions can be addressed daily and if they are of a certain level of importance, Instagram now also allows story archives to be kept on your profile page as well for easy future reference!

These tips have been brought to you by Event360, a portal that aims to connect event planners to industry professionals and vendors together to create the next big event. Visit our website here and search from a large variety of services. Simply submit a quote here and you are on your way to organising the next big event! With Event360, planning events has never been this easy.

4. Contests
Attendees are able to hashtag the official event hashtag and official handle in order to participate in Instagram based contests. However apart from the hype generated to advertise the contest, it is key to sustain the interest by acknowledging the winners for their efforts. Aside from the familiar method adopted to repost the winning image, an alternative but equally great way to announce and hype up the winners would be to feature them on Instagram Stories as well! Don’t forget to tag the winner’s handle too!

3. Gather and act upon suggestions
Instagram has recently rolled out the feature to conduct polls on Instagram stories whereby viewers are able to vote for their preferred choices out of two. Running polls before an event happens for attendees to choose what they would like to see at the event such as snacks or music genres is a way of engaging and allowing attendees to feel more involved in the creation of the event. Well don’t forget to act upon their suggestions too!

2. Hashtags
Similar to the basics of Instagram, while encouraging your attendees to actively film stories at your event, you may also want to consider having a designated hashtag for them to include in their stories. This makes it easier to track the level of audience engagement while also simultaneously offering a sneak peek to non-attendees to rouse their interest to head down to your event in the future. Like regular hashtags, hashtags made on Instagram stories are trackable as well so that content on your event may be made accessible to be discovered by the public as a way to garner more attention.

Instagram stories
The beauty of this function lies in its impermanence. With videos and photos featured on Instagram Stories taken down after 24 hours, you can keep your audience updated with new information effortlessly, daily. Here are several things you can consider doing during or even before your event, with your Instagram stories section:

1. Live Video
Leading up to or during the event, sharing short videos that ‘tease’ the audience on the happenings or provide a behind-the-scenes sneak peek can pique interest. This attracts more traffic to your page where users hope to find out more about the main event and attempt to unravel what the hype is all about.
Having an interesting or eye-catching segment happening at your event can also inspire attendees to pick up their phones to do their own live streams and stories to further build upon this hype and entice their followers to turn up at your event the next day or year!

Business profiles come with the ability to reflect insights on personal posts that allow you to track the effectiveness of hashtags in directing audiences to your profile. This way you can keep track of which hashtags work and which do not, in order to optimise your strategy towards the application of different tags. Hashtags can also be used in Instagram Stories which will be expanded on later.
Hashtags can also be used during your event to keep your audience engaged.

A feature - PhotoStream offered by PhotoPlay, allows specifically tagged photos to be printed in real time and here’s how it works:
Set a specific event hashtag
Guests at the event post photos and tag them accordingly
Newly tagged photos are streamed into the system in real-time

Photos are printed automatically for guests in a matter of minutes

This keeps both the event interactive and the hashtag alive for future references as well.
You may also consider holding photo competitions during the event in which winners will be selected from the pool of photos that have followed the event hashtag diligently. Do not forget to repost the winning photo as proof of the contest’s legitimacy and to build up the hype as well.
**Do note that in the above two instances, users accounts are required to be set to be public in order for the functions to be fully utilised.
Aside, hashtags are also a great way to keep build positive rapport with event participants as they can post and share more about their great experience at your event to entice their friends to get to know more about you as well!

Hashtags
In 2018, Instagram has rolled out the feature to allow users to follow specific hashtags according to their interests. So apart from tagging your posts according to the relevant hashtags, you are also able to follow hashtags related to your event and explore new suggestions. You are then able to expand on the hashtags applied to your images and increase exposure for your company and your event! Choosing to include generic yet popular hashtags such as may also increase audience traffic.

Event teaser
As Instagram only offers square images on its platform, you may consider creating an image collage to tease your followers on the up and coming event. Users will be able to view the entire collage as below on your profile page.\

However, they are only given access to individual photos on their news feed that may spur their interest to click in to find out more about the photo and in turn get to know more about your event.

4. Caffeine fix
When you occasionally run into an early call time or have to burn the midnight oil, the first instinct would be to grab a cup of coffee to wash the fatigue away. While the caffeine boost does increase your adrenaline, it may also result in fatigue and a ‘low’ period after it wears off. It can also increase the body’s “stress hormone”, cortisol, which pushes event organisers more to the edge while also risking weight gain, moodiness and even heart disease and diabetes. So why not try substituting coffee for green tea? Containing substantially less caffeine than coffee, it provides the energy boost without causing the “jitters”. Additionally, it is also known to improve brain function, increase fat burning and improve physical performance. Therefore, the next time you have the urge to grab a cup of coffee, try grabbing a cup of green tea instead!

3. Start the day right
Do not, we repeat, do not skip the most important meal of the day, breakfast! Food is the fundamental fuel to keep the human body running especially with the need to keep up with mentally taxing duties throughout the day. Eating well also plays a part in stress relief! Oatmeal a great breakfast option is listed in the top 7 foods for stress relief and “helps your brain generate the destressing neurotransmitter serotonin”. In addition, to keep you awake through a hectic day, you can also opt for healthier snacks such as a variety of nuts to not only sustain your energy levels but also eliminates the worry of weight gain!

2. Keep organised and plan your time well
Setting aside time to catch-up on well needed rest also means that you only have a fixed number of working hours for yourself. Thus it is important to schedule your meetings and keep a to-do list to be achieved within the day in order to keep track of your event progress. Apps such as Any.do, Momentum and Webex can help you monitor your daily schedules, tasks and send timely reminders. This thus makes sure that you are kept on your feet and make use of your work time efficiently at all times. After all, events is a job that calls for high levels of productivity. Set your goals and achieve them in order to get rid of those unnecessary stressors that cause burnouts!

1. Adequate sleep time
In a hectic working environment, it is common for executives to sacrifice their much-needed rest time to catch up with that never-ending pile of emails way beyond work hours. Event coordination requires a high amount of concentration and ‘brain power’, yet a lack of sleep compromises this ability. In addition, having not enough sleep increases the level of stress as well hence it is top of the list to get enough rest in order to prevent experiencing burnout. Know when it is time to stop and take a break while making the most of the day to complete your tasks which leads to point 2…
