Cromer Year 10 Formal 2024 Communication for our kids Year 10 Formal 2024

21/10/2024

Hi Parents,

I have been lucky to be working very closely with Poppy as a representative for the Year 10 cohort to get the formal organised. She has spent HOURS on the seating arrangements with me and is doing everything she can to help create an amazing night for her peers. The time she has put in this weekend to encourage her classmates to get organised is next level.

She has been alerted to an upsetting message today & has asked me to please share with everyone the following message (in regard to the student voted 'awards' survey that the kids all like to do for some added fun at formal.

Poppy's message....

Hi everyone, My name is Poppy, and my friends and I are the ones who created the survey. First, I wanna start by saying that I'm not sure where your kids have heard those questions from, but I want to clarify and say that i did not add 'most likely to get pregnant after tonight' or 'most likely to become gay/lesbian'.

Below is the list we created.

1.Biggest sweetheart
2. Best smile
3. Most likely to become famous
4. Cutest couple
5. Class clown (boy & girl)
6. Most likely to end up in jail
7. Life of the party
8. Most likely to become a millionaire
9. Most likely to fail year 10
10. Biggest NPC
11. Best duo
12. Biggest glow up
13. Most likely to get killed first in a horror movie
14. Teachers pet
15. Most athletic (boy & girl)
16. The clumsiest
17. Most likely to get the highest ATAR
18. Dancing queen
19. Most competitive (boy &girl)
20. Biggest troublemaker in Year 7
21. Best hair
22. Most tragic
23. Legend of the year

Obviously, on the night we won't do all of them since that's a lot of awards. We did include 'most likely to end up in jail' and 'most tragic' which I can understand how you think it can upset someone. However, I have already asked the winners of those awards if they are ok with winning it because i don't want to humiliate anyone of course but they said they are fine with it and think it is funny. Besides those questions, I don't think any others are harmful but you never know how someone will take it. Sorry again if you think this is "horrific" but it is our formal and we just want to have fun. If you have any questions just reply. Anyway I just wanted to clarify that I did not add those questions and we are not trying to hurt people's feelings, we just want to have some funny awards to remember on our formal night. Poppy xx

From Vicki (parent organiser)....

I will be chaperoning on formal night & will ensure that no hurtful, degrading, upsetting or embarrassing 'awards' are given out. My role is really just facilitating the kids desires for the evening, to help with bookings, seating & venue set-up, but of course will be sure to oversee this as well :)

A reminder today was the requested cut off date for table / seating requests.

Still have 35 kids not allocated to a table- please get the kids to email their requests tonight [email protected]

Hi Parents,

The kids are being really great sending me through their desired seating arrangements :)

It would be super helpful to me if you could please explain to the kids that it is a venue set up that restricts us to 10 people only per table absolute maximum. I know some friend groups are bigger than this number & have offered the kids to share two table lists that I will aim to place side by side if there are more than 10 in their friend group.

However I am receiving some frustrating emails from a couple of kids asking to please just push two tables together, or wanting to reserve full tables for a small overflow group of say 4 because they don't want to sit with 'randoms'.

I have suggested a group of 12 friends could split as a 6 & 6, then two smaller groups of 4 could join them (just as an example).

I am trying to explain the situation- it is a formal venue (with circular tables) that the venue will not permit to be pushed together, do not have the space to set up more than 10 place settings, nor with they set up additional tables for small groups to be dotted around.

I also hope that after 4 years (at least) at school together no one is considered a random!

Would be super helpful if you could please paint this picture for them. They will only be seated while eating & will be moving around freely for the vast majority of the night & can sit wherever they want. We decided to go with the seating plan so there is no upset or drama on the night.

Thanks so much!!

Hi Parents,

We have 6 weeks left to sell tickets to the formal.

The formal is being held on Wed Nov 13, from 6.30-11.30pm at the Manly Pacific.

Tickets are $145 each.

‘Plus one’ tickets can now be purchased (only one ‘plus one’ per person).

Our menu selection, times, dietary requirements & a further 60% of our final payment is due to Manly Pacific on Sept 28- so the cut off date for tickets will be Sept 25. If there are tickets left past this date we will still make them available.

Could you please spread the word as much as possible about these dates to your kids, their friends & other parents?

I have asked the kids formal committee to spread the word, but beyond this I have no other way of reaching everyone.

I will be getting together very soon to discuss the menu, music, decorations, etc with the kids committee for them to make these decisions.

We will also need a small group of parents willing to put their hand up to chaperone on the night. The exact number needed will depend on our final numbers attending (we are required to have one adult per 20 kids).

Chaperones are charged $55 each to attend (this includes food). This is a Manly Pacific requirement- not something I have implemented. So volunteer chaperones would need to be willing to cover this cost. If there is enough $$ left in the budget after all the associated costs, we could potentially reimburse chaperones.

Please let me know if you would be keen to chaperone.

Hi Everyone,

It would be great if all the kids are able to purchase their tickets by the end of the school holidays.

From July 29, we will allow everyone to purchase a 2nd ticket if they are bringing along a ‘plus one’

The many questions I have seen floated about menus, music, etc are things the kids will be deciding closer to the event.

We simply needed to get a date booked & confirmed & our deposit paid.

The kids formal committee will be handing the decisions regarding menu, music, decorations, etc in the coming months.

Thanks,

Vicki x

So the update is... year 10 exams are not the week we were planning the formal originally (Nov 27). The week of Nov 25-29 is for yrs 7 & 9 and the following week Dec 2-6 is for year 8 & 10.

Anyhow- we will keep the date of Nov 13 as the contract has been signed & the deposit paid.

Thanks to everyone who bought an early bird ticket and for those sending me lovely messages of support :)

Hi Everyone,

The consistent demands to change the date of the formal have become too much for one person to be made feel responsible for. Being a volunteer in this role- I can’t bear it. Trying to please everyone is weighing on me and all the comments/suggestions don’t seem to be offers to help organise!!

I have contacted the Manly Pacific & asked if they have any dates before the usual formal season starts to avoid upset regarding possible exams (Nov 25- Dec 6) immediately followed by work experience for 2 weeks (Dec 9-18).

As you can see, the main three weeks of formal season may clash, and the week or so prior have been booked out for months.

The suggestions to move the formal to the city I feel would make things difficult for transporting over 200 teenagers back & forth to, so felt the northern beaches was the best place for a year 10 formal. Any dates that fell on a Monday would potentially mean the girls wouldn’t have access to hair appointments as most salons close on Mondays (I was advised this by older students as very important!)

Although it is quite early, Manly Pacific have offered us WEDNESDAY NOVEMBER 13.

This date was not previously offered to me as it isn’t in the usual formal season.

So in the hope of pleasing as many people as possible & putting a stop to the constant comments & messages, I have decided to move the formal to WEDNESDAY NOV 13.

This is the final date available in the vicinity of formal season.

To those who have already purchased tickets- I will organise updated tickets to be sent to you :)

Moving forward- if you need to communicate with me- please be mindful I am just a volunteer and trying to do something lovely for ALL our kids- a positive approach would be very appreciated :)

Thank-you to those who have kindly purchased their kids formal tickets so quickly- it is a big help to get the deposit $$$ underway.

I am aware that some parents are unhappy with the date of the formal.

I am happy to be organising the formal, but am an extremely busy business person- I don't have time to be replying to comments & PMs multiple times per day questioning the date booked.

Please understand that I won't be replying to every comment or PM regarding decisions that have already been made

This was the date we were able to secure- most schools had already booked their date months ago- we were lucky to get an end of year date at all- there were only 4 left to choose from and all in the same period. If left any later, we may not have had a date at all as most venues will not facilitate year 10 formals.

I am doing the best job I can without having any correspondence available from the school and only today was able to have a discussion with a small group of students to confirm plans. I'm happy to step aside if there are other parents who would like to make alternative arrangements for the formal if what I have organised isn't what everyone is happy with.

Please note the following information about booking tickets....

- tickets are on sale now

- tickets will be available exclusively to NBSC year 10 students until the last day of term 2- Friday July 5.

- from Saturday July 6, any remaining tickets will be made available to any students wanting to bring a 'plus one'. This will be limited to one 'plus one' per student.

- the absolute final date for ticket purchase is Friday Sept 20.

Many Thanks,

Vicki x

As we are nearly at the end of March, we have at act quickly to secure our date of Wed Nov 13. We can only secure the date with a $3000 deposit by March 27.

I am not able to personally fund this deposit, so I have opened up ticket sales for the formal now & hope that at least 20 or so students might be in the position to purchase theirs over the next week so we can get the deposit covered.

Tickets are $145 per person. Trybooking will charge a 50 cent booking fee on top of this.

Each student can purchase 1 ticket now, and then we will do a second release for 'plus ones' later in the year once all the Cromer kids have had first option to buy a ticket- the 'plus ones' will be on a first in best dressed basis :)

I am meeting with the student representatives tomorrow to discuss plans.

Closer to the event I will be reaching out for parent volunteers to chaperone.
