Client Tradeshow: AAPS PharmSci 360 | Orlando
Our client used this tradeshow to announce they had acquired another company. Our client's custom exhibit was front and center at their happy hour reception on the exhibit floor. Crowds successfully gathered to hear about the recent acquisition and learn about the products our client offers in the pharmaceutical industry.

IT'S FUN FRIDAY!

On a recent event, our client brought together employees from all over the world to meet in person for the very first time. Early in the planning phase, the idea of some unique teambuilding activities came up, with the goal to help everyone build a connection and laugh together.

Presenting 'Yacht or Not'! A game designed to make everyone laugh. We created teams of 10 and gave them an assortment of random items (balloons, pool noodles, cardboard, etc.) with the challenge to create a boat that would allow one member of their team to make it across the pool without sinking.

Needless to say, most of the boats sank within moments of touching the water, but the joy of watching our client enjoying themselves and laughing hysterically was the biggest win!

If you’d like to close your conference with a bang, Jeff Havens recommends these three possibilities you can use during a final event:

The Secret Networker
This is a great way to get people talking. Print 50 cards for each conference attendee with his/her name on it. (Half of them will think they’re drink tickets, which I find hilarious. Can you imagine a conference organizer who'd say, “Please, have 50 on us!”) Designate one staff member or attendee as the “secret networker,” and tell everyone on day one that their task over the course of the conference is to give their cards to as many people as possible. Then during the final social event of the conference, have the secret networker come on stage and use the cards he or she collected over the past few days as the only ones eligible for a prize raffle. I’ve seen this idea used a few times, and it never fails to impress me how much people get into playing.

Or as I like to call it, Old Reliable. I’ve seen this one at least a dozen times, so I can say with confidence that people of all shapes, sizes, ages, colors, and creeds love wearing giant sunglasses, feather boas, cowboy hats, or other accessories while posing with others doing the same. Ask people to pose with others they don't know but who are wearing similar fashion items, and attendees will quickly make new contacts.

The Drink and Draw
Fifty easels were set up with small blank canvases, brushes, and some paints. On the stage was a finished piece that everyone could try to reproduce. A professional artist then recreated the painting while talking participants through the process. Drinks were available from the hotel bar. In the end, everyone got to keep their creation, and I heard plenty of people who didn’t participate lament their decision to sit this one out.

Thoughts from Hope Reflected...

Self-care is something that many of us aren’t good at. Think of all the competing priorities! From work and family to church and volunteering, sometimes it can be difficult to find — nay, take — time to rest yourself and to be still.

Psalm 46:10 tells us to “Be still and know that I am God.” Think about that. Providing nourishment for ourselves is about more than just the food that we put into our bodies. We also need to provide nourishment for our souls, through God’s Word, and through prayer, and we can’t do that if we are taking time to be still. Be still.

Any time we find ourselves anxious or worrying, it’s likely because we’re spending more time focused on our problems than on our Saviour. It is crucial to take time each day to retrain our focus on the Lord and His goodness. When we do this, we are promised God’s perfect peace. “You will keep him in perfect peace, whose mind is stayed on You, because he trusts in You.” (Isaiah 26:3)

In all areas of your life, if you want to flourish, you’ve got to nourish. Jesus Christ is the living bread; it is only through Him that we can find nourishment for our souls! “I am the living bread that came down out of heaven; if anyone eats of this bread, he will live forever; and the bread also which I will give for the life of the world is My flesh.” (John 6:51)

What are you putting into your body, soul, and mind? What are you doing to nourish your spirit? Remember to take time to rest each day. And remember, what you choose to focus on can have a huge impact on your life. Feed yourself with the right things!

Meeting Professionals International (MPI), the world’s largest meeting and event industry association worldwide, recently unveiled its Summer Meetings Outlook, a future-focused quarterly report that identifies current industry trends, innovations, and outlooks.

Some key findings in the report include:

81% of respondents predict favorable business conditions for the year ahead. This is down from the recent all-time highs but remains incredibly positive and strong.

Costs are up, with the majority of respondents saying costs are increasing more than 6% for food and beverage, transportation, hotel accommodations, audio-visual, and staffing. In fact, 41% of respondents expect F&B costs to increase more than 10% over the next year.

Hiring challenges continue to grow, with 69% of respondents saying they are experiencing difficulty filling job vacancies at their organizations—the greatest percentage of respondents indicating this issue since this data point was added to the survey more than a year ago.

Service levels are down. Closely related to the hiring challenges and “great resignation,” meeting and event professionals claim to be experiencing worse customer service than before the pandemic. Planners cite restaurants (73%) and hotels (72%) as two segments in which they’re experiencing the most significant decline in service quality. Thinking about events they’ve worked or attended this year, suppliers also identified restaurants (73%) as exhibiting the greatest service quality decline, followed closely by catered F & B (71%).

Kim's adventures in event management...

Dedrone descended upon California for a week of adventures. Our first installment is actually the end of the program, the final and closing event–a red carpet, black tie soiree in the garden of the Ritz Carlton, Marina Del Ray.

The entrance to the event was a key element that the client envisioned, a custom-made step & repeat.

Somehow the most important element, the step & repeat was MIA in the melee of moving venues during the Route Fire. In Kim's words, "It was 3 PM when I realized the error, and the event was set to begin at 6 PM. I called the venue we had just left and after doing a check in the office I was using, they found my box hidden behind a couch. Unfortunately though, due to the fire, it was a 2-hour one-way trip back to the venue

Without any clue what to do next, I stopped and asked God for help. After praying, I gathered my thoughts and set out to makeshift a new plan for the entrance.

Just then, my phone rang and the director at the previous venue had a crazy story for me. He said that one of their staff had just been invited that morning to visit her family on the coast, and she was headed our way. Her family's place was only 2 blocks from the Ritz Carlton! The craziest part was she hadn't visited them in over 2 years, and they just happened to invite her for dinner this same day.

Our superhero arrived at 5:35 PM, which gave us exactly enough time to build the step & repeat, vacuum the red carpet and position our photographer to give guests their grand entrance experience, complete as it was designed to be.

Our client walked up just after, stopped in awe of the view, and whispered to me 'You brought my vision to life and delivered on everything you promised me. Jump onto the red carpet for a photo with me.'"

The most highly rated attribute of incentive travel programs in this year’s Incentive Research Foundation study of participants’ preferences was not a feature that respondents were even asked about last year: having “ample time to relax.”

Being given downtime during an incentive program was “extremely” or “somewhat important” to 87 percent of the respondents!

So, when building your incentive programs, make sure you allow some time for people to relax and do things on their own!

So many things happen in life that could go totally wrong and then end up turning around. Coincidence or do we have someone watching out for us?

Napa seems to be a popular destination this November. We're working with two groups to create great events. We stumbled across this unique find while looking for places to hold a private dinner. This is the Ackerman Heritage House. It was built in 1888 and completely remodeled in 2015. It appears to be a great spot to host exclusive wine dinners.
