Job Description:
As a Catering Events Coordinator you will work alongside the Executive Chef in the planning, communication, and ex*****on of all wedding receptions, corporate events, parties, and more. You will take great pride in your work, be detail oriented, extremely organized, and a multitasker who will remember even the smallest detail to ensure a memorable experience for the client. You will ensure the quality of events meets and exceeds the Chef de Partie Catering standards. You must be prepared to work in a fast-paced work environment (independently and as part of a team), be able to problem solve, and be accountable and dependable.
Specific Job Duties:
Communicate with Clients (60%)
The Catering Events Coordinator is the point of contact for all catering inquiries by phone and email. Duties include maintaining the events calendar, providing information about availability, menus and services, identifying clients’ desires, and helping them make appropriate decisions. You’ll create and revise quotes, contracts, and Banquet Event Orders and accept payments. You’ll need to be polite, patient, and friendly. Demonstrated leadership, negotiation, and management skills are assets.
Marketing and Design (30%)
Responsible for social media management (Meta business suite), website maintenance and email campaigns (GoDaddy), and other marketing activities as needed. You will create printed menus for wedding banquets, so a creative eye and some graphic design experience (Canva or similar) are great to have.
Onsite Events Coordination (10%)
You will supervise and work the setup process for the event. This includes loading and unloading equipment, organizing buffet lines, ensuring food and drink is easily accessible and putting final touches on guests’ tables. You’ll oversee, schedule, and monitor casual service staff when needed. Once the event starts, the events coordinator oversees and helps in the entire ex*****on. A bachelors’ degree in hospitality or business management (or equivalent experience) is nice to have but not required.
General Expectations:
- Display leadership in the absence of the Executive Chef at events.
- Hold yourself accountable for achieving established client service standards and exceeding every client’s expectation. Ensure that your actions reflect the standards of Chef de Partie.
- Create your own workflow and work independently.
- Communicate in a strong, effective, and polite manner with all service and kitchen staff and lead by example.
- Respond in a positive and timely manner to all internal and external inquiries.
- Maintain knowledge of all pricing, ingredients, plating, and dietary components of menu items.
- Work overtime and during varied hours at events as required, including evenings and weekends.
- Travel outside of Saskatoon is occasionally required.
- Ability to be on your feet for long hours and lift and carry equipment.
- Perform other related duties which may be assigned.
