Twitter, Instagram, emails, and promos! How do you make the most of ALL the content you gather at an exhibition?🤯

When you’re exhibiting, you should take advantage of every promo opportunity on the exhibition website and any free brochure space offered. And if you think you can get a good ROI on it, you might also want to consider paid sponsored space, whether that’s in the exhibition brochure or sponsoring the café.🤝

If you’ve made your marketing materials generic rather than specific to the event, any spares you have left after the exhibition can be used elsewhere, so they aren’t wasted. But you can also look at any new content you created for the exhibition and see where you can repurpose that, perhaps to create new blog posts – including one about how the exhibition went. 👩‍💻

As long as they can get a sense of what you're describing, they should come up with something fantastic based on the foundation you've provided them.

📝 Be flexible - being flexible is part and parcel of the exhibition design process. It takes time to generate a design that meets all your objectives while satisfying the rest of your constraints. Don't get offended or stuck if a designer cannot bring your original idea to life due to certain physical limitations.

📝 Be realistic - thinking realistically about what you can achieve is an integral part of the process. You want something that will make you stand out, but you don't want to demolish any chance of sticking to your budget.

🔐Don't rely on exhibition security - even though most event organizers hire event security services to ensure all attendees are organised, they aren't responsible for individual stands and equipment safety.

🔐Keep valuable items outside your booth - instead, tell your staff to store tech and jewellery in hotel safes and off-site.

🔐Control access - if you keep a safe onsite, limit its access to one or two members rather than the entire staff. This ensures less risk of valuables going missing.

🔐Ensure your digital display equipment is secure - it only takes a second for a passerby to swipe a tablet. If you're using portable digital items for display purposes, ensure they're locked tightly to their display stands.

🔐Don't advertise your valuables - mislabel boxes that may hold valuable equipment. For example, a thief would be more interested in "computer setup" than "brochures."

🔐Use your stand's lockable storage - many custom exhibition stands feature lockable storage options that are great for storing expensive items during the day. However, we advise you not to rely on this too much! Your items are always safer off-site.

👨‍💼 Stand at the front of your display - in a busy hall where visitors' eyes will be passing from stand to stand, being at the front of your display and offering a greeting can focus their attention on your stand!

👩‍💼 Stay off your phone - being on your phone, regardless of what you may be doing, makes you appear uninterested at best and bored at worst. It can be a huge red flag for exhibitiongoers as it looks unprofessional, and the reputation of your business could be at risk based on how they perceive you.

👨‍💼Don't eat or drink while you're working the stand - aside from the mess, drinking and eating on your stand can look unprofessional.

👩‍💼 Don't sit down - standing (at your stand) shows visitors and potential leads that you're alert and ready for action!

Brief your team! Never let anyone turn up to your stand without knowing why they're there and what key points you want to get across at any event.

✅Overall targets

These targets can be anything from the number of visitors to the stand, leads scanned, orders processed, etc.

✅Lead capturing and follow-ups

Follow up with those who've been kind enough to let you scan them or hand over their business card or query. If they ask for information, send it as soon as possible.

✅Engagement techniques

Let visitors choose to engage with your brand by offering enticing experiences such as games, seating areas, food & drink, or a space in which visitors can retreat from the hustle and bustle of the exhibition hall.

✅Staff

Securing the best location for your trade booth is largely determined by which country you're exhibiting in and the layout structure of the exhibition's halls!🌐

Not to worry, though, we've put together a short list of pros and cons per location in a general exhibition hall so that you can see which area works best for you.

Near the front.💡
Pros:

🔸 Entrance to the show is guaranteed to have a consistent flow of traffic.
🔸 Every visitor passes the area at least twice (assuming there's only one entrance and exit).
🔸 Your brand gets excellent visibility.

Cons:

🔹 Can get extremely crowded, chaotic, and noisy.
🔹 Can be challenging to have a meaningful conversation in the noise.

In the middle.💡
Pros:

🔸 Most attendees make their way to the center of the show floor.
🔸 Natural traffic increases the odds of prospects wandering by.
🔸 Wider aisles often run through the middle of the show floor.

Cons:

🔹 Attendees may only pass by once (unlike near the entrance, where a return visit is guaranteed).
🔹 More likely to be near a view-blocking obstacle, like a support column, in the middle area.

Near the back.💡
Pros:

🔸 Amenities like food vendors, coffee shops, attendee lounges, breakout spaces, and restrooms are along the perimeter.
🔸 Plenty of foot traffic will pass by your booth.

Cons:

🔹 Dead zones.
🔹 As lines form in the amenities areas, they may make it difficult for people to see and visit your display.

In terms of exhibition essentials, there's a whole lot that you need to remember!🧠

So we're here to give you a brief rundown of the essentials you'll need before heading to the show!

These include:

📝 Venue Name and Address
📝 Telephone number of venue
📝 Telephone numbers of any venue staff you may need to contact directly
📝 Telephone numbers of any suppliers you may need to contact directly
📝 If you're meeting colleagues at the venue, make sure you have their numbers too!
📝 Any venue contract you may have, as well as the venue floorplan and your stand layout
📝 Any other associated paperwork or information you may require

In terms of equipment, make sure you've packed the following:

🛠️ Your stand panels and graphics
🛠️ Any portable display stand equipment (think brochure racks and pop-up counters)
🛠️ Power: Chargers, batteries, and extension leads
🛠️ Sticky fixers: Sellotape, Blu-Tack, string, fishing wire, drawings pins, etc.
🛠️ Cutters: Scissors, Craft-knife/Stanley knife
🛠️ Writing: Flip chart, marker pens, notebooks, ballpoint pens
🛠️ Computer: Laptop, tablet computer, e.g., iPad, or smartphone, portable WiFi
