Official response from the Trustees of the Dorothea Mitchell Hall :
It is disappointing to read the recent post on Claverdon Matters regarding the Coffee Box and the associated responses. It is the trustee's position to ensure the site is primarily available for all the village to use, but importantly that it does this in a sustainable way. Views that discredit the voluntary work of the trustees are not helpful or respectful.

The coffee box has been enjoying an advantageous arrangement over a trial period with unlimited use of Dorothea Mitchell Hall electricity, water and toilet facilities since 2021. All private and confidential discussions to date have only been with the Coffee Box owner, who has moved away from the area. We have not been introduced to any prospective operator.

There is no intention to price the Coffee Box out of business. As a charity the arrangement proposed to any new operator must cover all the electricity, water and facility costs incurred by the Dorothea Mitchell Hall. This is in line with payments made by other users of the site.

Summary of Caretaker Duties
A mobile phone will be provided exclusively for the following DM Hall caretaker’s responsibilities: -
1. Take and respond to those interested in hiring the Hall and/or associated services.
2. Show interested clients around the hall as requested, explaining how to use required facilities/equipment as well as the Terms & Conditions of Hire.
3. Support clients before, during and after bookings as appropriate.
4. Take and keep records of all provisional and confirmed bookings and related documentation.
5. Carry out a check after each booking to ensure no items need repair or have gone missing.
6. Keep all parts of the hall and external areas looking clean and presentable.
7. Maintain regular contact with DM Hall Trustees, especially the Treasurer regarding all monetary aspects including deposits, invoicing, hire payments and refunds.
8. Turn on/off the heating or reset as appropriate.
9. Attend DM Hall Committee meetings to provide formal updates to trustees
10. Liaise with service providers as required.
11. Promote the hall amenities and services in a positive way and represent the hall at associated meetings as appropriate.
12. Maintain a timesheet to support hours worked.

BLOOMING MARVELLOUS!
The Trustees of the DM Hall have arranged for the planting of a hedge consisting of fifty Queen Elizabeth II roses. (It has been laid out in front of the clock unveiled by the Queen’s Lord-Lieutenant ten years ago to celebrate her Diamond Jubilee.) These roses produce fragrant, dusky pink flowers. Hopefully, the hedge will be in bloom early in June to commemorate the Platinum Jubilee of our longest serving monarch. The roses, plus the Remembrance Garden and grassed areas around the site, will provide a recreational asset enjoyed by residents and visitors alike.
