I know, this sounds obvious, but it doesn't always happen.

Not because event planners are bad, or don't mean to do the best we can for the suppliers and venues we work with....if it happens it's almost always because we're stressed or super busy.

So what can we do to ensure the people we work with, who help us deliver great events, feel seen, heard and well supported?

For me it's down to communication, in a number of ways...

We're not the experts in everything!

Most importantly, remember as planners we hire the best we can in terms of suppliers who can do the things we can't, or certainly can't as well as they can. 🙂

We hold the clipboard, or more likely the iPad, but we don't actually do everything on the list, so listen...
....if your caterer tells you the turnaround time between main course and dessert will take 10 minutes longer than you've scheduled, believe them and change the schedule.

Schedules and Running Orders

Keep everyone informed from as early as possible.

Most suppliers would rather have a running order 3 weeks prior to the event, which is maybe 85% correct, than wait until 2 days before because you want to send the perfect, 100% correct, version. 📋️

They can input, ask questions, and maybe raise things you hadn't thought of. ✋🏼

I always tell the people I work with that they will probably get more info than they want, but that's better than insufficient.

Yes, this means I get coach companies who wonder why they have details of the labels to be handed out in the cloakroom, or the time the keynote speaker's arriving, but it also means all suppliers will have details of the bus route stop offs at midnight, which frankly can come in useful with late night, 'had a few', guests. 🙃

We're all people, not robots..🤖

Think about what humans need to do a decent job and give of our best, so:

- make sure there's lots of water around for everyone
- ensure suppliers know where the restrooms and coffee machines are
- plan for people working over a certain number of hours to get fed
- check in throughout the event to see if you can assist or answer
questions

Remember, you are just the conductor of the orchestra, and yes, without you things will go awry, but without all the musicians (literal or other suppliers) there will be no music at all. 🎶

Delighted to be a judge for The Wedding Industry Awards again.

Of all the Awards in the Wedding Industry I've always felt these are the most fair with a truly rigorous judging process.

I've been on the judging panel since the awards began in 2012 and, apart from making me feel ancient 😐 , it's been wonderful to watch them grow and include such a wide variety of industry sectors.

Sounds obvious, I know.

However sometimes we need to work at getting the people we really want to attend our events.

For example, let's say you're running an event you've run before - maybe annually.

If you've never had a problem getting 'bums on seats' then firstly, huge congrats, because that's often not easy!

So, do you want the same audience next time around?

Maybe you do, in which case do exactly what you did last time, plus reach out to previous attendees.

But what if the people you really want to 'speak' to, or get your important message across to, aren't on your mailing list and you don't have any kind of relationship with them?

Ask and show......

If you have a list of IT Directors, but want to attract Marketing Directors, ask for an intro within their businesses.

Post on social, possibly with some ad spend, the reasons why the Sales Execs, the EA's or the Finance team would benefit from attending and learning about x or y.

You might think it's obvious, but they might not.

Worse, they might think it would be interesting, but are afraid to ask, or attend, in case the content is too technical, or above their head, or they'll be in a room full of techies / people more senior to them / geeks / (fill in what works for you).

I've had this so many times with clients, plus I know I've felt it myself with events I consider going to - that 'oooh I probably ought to understand that for my business, but what if they ask me a question and I look stupid?' feeling.

Give your target audience all the reasons they need to be confident they'll be among like minded folks and won't be made to feel daft, too junior, too much of a technophobe, etc.

Oh, and naturally, when they do come along, look after them, make them feel welcome and ensure they know where they need to be when.

Then, of course, you will have them on your mailing list and they can help you reach out to more of themselves next time around.

There are very few days when I'd rather I wasn't based at home.

However today I must admit I miss the air con of a bigger office space. I love the sun, but gosh it's hot in Grouville right now. 😎

That said, it's a good day, with no meetings, to do a big catch up on client work and decluttering emails etc.

My 'assistant' clearly isn't that bothered .... I should add she is elevated to be next to me, fan blasting on her undercarriage, looking seriously concerned when I suggest going outside for a walk. 🐶

Right from pre-event communications, through day-of support, provide excellent customer service to your event attendees.

Be really responsive to their needs and ensure they have a positive experience.

Every touch point matters. Remember, when you attend an event, it's easy to be unsure where to go, who to report to or just to feel a bit lost. Lots of opportunities to make certain that doesn't happen ..... think welcoming team, easy signage, check in points for anyone with questions, oh and of course a big smile.

Word of mouth can hugely impact the success of your event, so treat every attendee as the valuable customer they are, or may become.

This goes for your sponsors, speakers, hosts and suppliers too - make sure everyone knows where they need to be when and where to go to find help if they need it.

It's often the case with events that there aren't sufficient different spaces within a venue, or indeed your budget doesn't stretch to hiring yet another room, to move each stage of the event to another area.⁠

However, a lot can be done by washing a space with a different colour.⁠

Think using the breakfast room again post conference for drinks, or turning a civil wedding ceremony space into a cocktail by removing the chairs and lighting the bar.⁠

Throwback Thursday....⁠

I was reminded of this wedding last week when I invited friends for dinner in early August and was informed they'd be at the Paris Olympics.⁠

This wedding was two weeks after the 2012 Olympics in London and the groom was a member of the British rowing team.⁠

First time I'd been asked if we could incorporate an MBE medal (they got Gold in Beijing in 2008) into a buttonhole, but hey - why not!?⁠

You may remember this one. 😍⁠

It was also the first time I'd seen a guard of honour achieved with oars rather than swords. ⚔️⁠

Personalisation is really key with events of any kind, not just weddings. ⁠

Sometimes the smallest, most inexpensive, touches make your event memorable.⁠

Were you born to shout?

I wasn't, but our beloved Lhasa Apso Rosie definitely was!

She protects her home and family as proudly as the breed protected Tibetan monasteries centuries ago.

They will bark incessantly to sound the alarm, but their protectiveness stops there because they're too small to back up their bark with any real action.

Bless her. I only wish she knew that our lovely Jersey Post lady poses no threat whatsoever! 📮

We all have skills or talents that we're good at, or feel are in built. For me it's organisation, lists, spreadsheets and plans ..... total control freak and proud of it. 🤷‍♀️

I also know what my limitations (or perhaps 'could do betters' or 'learning opportunities') are. 👩🏻‍🏫

I think it's really important to embrace what you excel at and work with people who complement your skills .... for me that's the techies and the truly creative folks.

In events that means the incredible AV guys, the photographers, the film makers, the florists, the stylists, the MC's, the amazing caterers and those who can literally build you a venue out of canvas or light a space to make it look completely different.

It also means working with, and getting advice from, VA's, HR folks, lawyers etc who either know better, or are just faster, than you are.

Here's to all the wonderful businesses I work with - because we're not all born to shout.

Using events to gather market research and feedback can provide valuable insights into customer preferences, behaviours and perceptions.

Surveys and Polls:

Distribute surveys or conduct live polls during or after the event to collect attendees' opinions on various aspects, be that product features, service quality or their overall experience. These can be paper based, digital or via interactive apps.

Focus Groups and Round Table Discussions:

Perhaps organise small focus groups or round table discussions where selected attendees can discuss specific topics in detail. This can provide deeper insights into customers’ needs, pain points and preferences.

Interactive Workshops:

Conduct workshops where your attendees can interact with your products or services. Observe their behaviour, gather real time feedback and ask questions to understand their experiences and opinions.

Q&A Sessions and Panels:

Include Q&A sessions or panels of experts in your event, allowing delegates to ask questions and share their thoughts. These sessions often reveal common concerns and interests and get people talking who might not otherwise have done so once the first person puts their hand up.

Having recently attended a speed networking event (fun but exhausting by the way 😀) I realised I'd fallen into the trap that I think many of us do after running a business for a while. Assuming people know what we do.

When, in my 2 minute elevator pitch, I started with 'I plan and manage business events...' I drew a few blank looks.

'Yes but how exactly?' one gent asked.

The answer, when you're small and flexible, is pretty much however works for you.

Events Agency - retain us, for as few as 2 hours per month, to run events which work alongside your marketing and other activities.

Use us as part of your team - whether that's covering maternity or sickness or instead of you having to hire an employee.

Hire us for a one off event - you may have a particular anniversary, or other milestone, you wish to celebrate or mark in some way.

Think demonstrating your products and/ or services live and getting immediate feedback.

Depending, of course, on your offering, some businesses can convert interested attendees into customers there and then, or certainly through really warm follow up meetings.

Love to think this quote might prove to be true.

This was not one of my events, but rather an one this morning.

I love to attend events I've not planned and get the opportunity fully to take part.

The subject was AI and productivity - I learned a lot, met some great new people and came away with lots of ideas and indeed questions.

Isn't that what we all hope for from educational events? To learn from people who know way more about a subject and come away buzzing.

Exclusive, perhaps 'VIP' events create a sense of uniqueness and appreciation.

Hosting exclusive events for loyal customers, be it VIP receptions, previews or private dinners, can make customers feel genuinely valued and appreciated. These events can offer unique experiences that are not available to the general public, such as behind-the-scenes tours, meet-and-greets with key speakers or sponsors, or early access to new products.

Why ternevents?

A couple of people have asked me recently why my business is ternevents - indeed one suggested I can't spell and it ought to be 'turnevents'.

It's very simple...

In looking for a business name change back in 2008 I wanted something which said 'we do our utmost/ we go further' and happened upon the Arctic tern who flies pretty much the furthest of all birds.

It's known for its long yearly migration, travelling from its Arctic breeding grounds to Antarctica where it enjoys the Antarctic summer, covering around 25,000 miles.

When I changed the name I was based in land locked Hertfordshire, so it's lovely now to be somewhere I can actually see terns!

As a business my aim is to do the most I possibly can for clients and work with them to deliver events which, as part of a wider armoury of tools, meet their goals and exceed expectations.
