3 things to remember:

1) hire efficient suppliers who will do all that they can to fulfill your plans

2) prepare all that you need to pack and encode ahead of time — make sure your turnovers are complete so no need to stress over seat plans or missing items on the day

3) do not micromanage the team (you can do this if you can trust that you booked the right people so book not because you got the lowest possible package but because you got great feedback regarding your prospects)
