What we as wedding planners tell our clients depends on the specific stage of the planning process and the individual needs of the couple. However, here are some general things that good wedding planners should communicate to their clients.
Early in the planning process:
Start with the budget: Before diving into details, we ensure the couple has a realistic and agreed-upon budget for the entire wedding. This helps guide all future decisions.
Prioritize and personalize: Discuss what aspects of the wedding are most important to the couple and how they want to reflect their personalities and values. Encourage them to prioritize their preferences and avoid feeling pressured by trends or expectations.
Communication is key: Establish clear communication channels and expectations. Regularly update clients on progress, address concerns promptly, and be available to answer questions.
Manage expectations: Set realistic expectations for timeline, vendors, and potential challenges. Communicate potential bumps in the road and discuss proactive solutions.
As the planning progresses:
Vendor recommendations and negotiations: W offer guidance on selecting qualified vendors that fit the couple's style and budget. We help you negotiate contracts and manage vendor relationships.
Logistics and timelines: We will develop a detailed timeline for the wedding day, including vendor arrival times, ceremony flow, and reception activities. Ensure everyone involved is aware of the schedule and responsible for their roles.
Problem-solving and decision-making: We are prepared to handle unexpected issues and offer creative solutions. We help the couple make informed decisions while respecting their final say.
Delegate and outsource: We encourage the couple to delegate tasks to trusted friends and family or hire professionals where needed. This helps you stay focused and less stressed.
Leading up to the wedding:
Final rehearsals and walkthroughs: Organize rehearsals for the ceremony and reception, ensuring everyone is familiar with their roles and timing. Conduct a final walkthrough of the venue with all vendors to confirm setup and logistics.
Contingency plans: We have plans in place for potential weather or other unforeseen issues. We remain calm and adaptable to ensure the smooth flow of the event.
Relax and enjoy the moment: Remind the couple to relax and savor the experience. After all the planning, it's your day to celebrate with loved ones.
Additional tips:
ATP is honest and transparent: We can provide honest feedback and advice, even if it's not what the couple wants to hear. Of course all in a kind and constructive way.
Respect boundaries: ATP is mindful of the couple's wishes and priorities. We avoid being pushy or imposing our own preferences.
Celebrate their vision: Ultimately, the wedding is about the couple's unique love story. ATP helps them create a memorable celebration that reflects their personalities and desires.
Remember, the most important thing about ATP is to build trust and rapport with our clients and help them create a wedding day that is truly special and unforgettable.
Happy Planning, Jean
