SUMMARY
The Sales & Event Coordinator will take a leadership role that will establish and uphold the quality, detail, and processes that create the outstanding experience patrons expect from the Decatur Park District. This person is responsible for helping the Decatur Park District facilitate special event and banquet business opportunities by securing event bookings, detailing the events and ensuring patron satisfaction throughout the process. The Sales and Event Coordinator will be overseeing events at facilities districtwide including all District Banquet Facilities.
This position is also responsible for innovative and dynamic leadership and development of programs in support of the District’s overall strategy to grow revenues and ensure maximum profitability, while being sensitive to staying within established budgets and providing exceptional customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following - other duties may be assigned:
•Planning, organizing, and facilitating District Special Events included but not limited to: Trees on the Tees, Zoo Open, Foundation Special Events, Bridal Expos and Vendor Shows.
•Book, plan, organize, execute and manage all corporate events, meetings, weddings and rentals at facilities districtwide including all District Banquet Facilities.
•Promote and sell event spaces, packages, and additional services to generate sales leads and prospect for new clients.
•Prepare and negotiate contracts, proposals, and event agreements in accordance with District’s policies and pricing guidelines.
•Conduct site visits and meetings with clients.
•Assist Golf Professionals with promoting, booking, and managing all golf outings at both Hickory Point and Red Tail Run Golf Course.
•Schedule and oversee staff to set-up, execute, and tear-down booked events and meetings.
•Maintain relationships with current bookings and serve as the main contact for inquiries.
•Resolve concerns, problems, and emergencies that arise with customers or employees in a timely manner.
•Collaborate with preferred caterers to ensure seamless event planning and ex*****on.
•Coordinate with vendors and suppliers to secure necessary resources for events, such as equipment, rentals, and decorations.
•Oversee event setup, manage event flow, and handle any last-minute changes or issues to ensure a flawless event experience for clients and attendees.
OTHER DUTIES & RESPONSIBILITIES
•Attend professional conferences, training, and workshops to further knowledge in related areas of responsibility.
•Follow recommendations from PDRMA to ensure Risk Management compliance.
•Partner with the Marketing Staff to promote Decatur Park District Special Event opportunities.
•Generate and execute appropriate food service contracts.
•Work closely with Business Department Staff to create appropriate invoices and make sure billings are paid within established timeframe.
•Follow up as directed by Business Department Staff to assist in collecting on past due accounts.
•Performs other duties and projects as assigned
