Here’s a step-by-step guide on when to book each one, so you can secure your dream team without the stress!

Venue (1 Year or More): Start with the venue. Popular locations book up quickly, sometimes even years in advance.

Wedding Planner (1 Year or More): Hiring a planner early is key if you want help navigating the rest of the planning process.

Dress (1 Year):
Wedding dresses often need months for fittings and alterations.

Officiant (11 Months):
Securing an officiant nearly a year in advance ensures they’ll be available for your date, especially if you have someone specific in mind, like a family friend or religious figure who is in high demand.

Entertainment (DJ, Band, etc.) (9-8 Months):
Musicians and DJs often fill their calendars quickly, especially during peak wedding seasons.

Photographer/Videographer (8 Months):
The best in the business often have busy schedules, so plan to book around eight months ahead to secure your favorite.

Catering (if not included with the venue) (6 Months):
This will give you time to sample menus, consider dietary needs, and make adjustments

Florist (7-6 Months):
Booking a florist six to seven months out lets you coordinate seasonal blooms and make sure they’re available.

Cake (5 Months):
This gives time to the baker to work with your preferences and ensure everything is perfect.

👀 Pre-Gaming – Who doesn’t love a good pre-event hangout? Whether it’s drinks or snacks, people will flock if they know something is happening before the main event. Set a little pre-game before the official start time, and watch the early birds roll in! 🥂

📸 Red Carpet/Photo-Op – Everyone loves to feel like a star! When guests know there’s a photo-op as they walk in, they’ll want to be part of the spotlight. Make sure to advertise a red carpet moment or a photo area so they’ll rush to be a part of it.

📝 Clear Invitations – Don’t be afraid to be direct! Let your guests know exactly when they need to arrive. Include those details in the invite if you’re serving food or kicking off a special activity at a certain time. Guests are more likely to respect the schedule when you know your expectations.

🚩 They take weeks to get back to you – If communication is already slow, imagine how it might be closer to your big day. Responsiveness is key in wedding planning.

🚩 No website or social media presence – In today’s digital age, a reputable vendor should have an online footprint. This is where you’ll often find portfolios, reviews, and examples of their work.

🚩 No reviews listed anywhere – Reviews are crucial for understanding a vendor’s reliability. If you can't find any feedback from previous clients, proceed with caution.

🚩 An unclear contract, or worse—no contract at all – A professional vendor will always provide a clear, detailed contract. This protects both parties and ensures everyone is on the same page.

🚩 Using content that doesn’t belong to them – Be on the lookout for vendors showcasing work that isn’t theirs. It’s a sign they may not be able to deliver what they promise.

🚩 That “too good to be true” pricing – You know the saying. While deals are nice, drastically low prices could mean hidden fees or compromised quality. Always compare prices and ask questions.
