Job Title: Event Coordinator - Talent Show
Job Summary:
We are seeking a skilled and enthusiastic Event Coordinator to organize and promote a talent show that celebrates the diverse range of local talent in Southern Oregon. As an Event Coordinator, you will be responsible for overseeing all aspects of the talent show, from planning and logistics to marketing and ex*****on. This is a unique opportunity to showcase the rich cultural heritage and artistic abilities of our community through music, dance, singing, and traditional native performances.
Responsibilities:
1. Event Planning: Collaborate with key stakeholders to determine the vision, goals, and theme of the talent show. Develop a comprehensive event plan, including budgeting, scheduling, venue selection, and logistical arrangements.
2. Talent Recruitment: Identify and recruit local talent, including musicians, dancers, singers, and performers specializing in traditional native art forms. Conduct auditions, review submissions, and select participants based on their skills, creativity, and suitability for the show.
3. Program Development: Create a captivating and diverse program by arranging performers, acts, and performances in a cohesive and engaging manner. Ensure the representation of various genres, styles, and cultural backgrounds.
4. Venue Management: Coordinate with venue owners and vendors to secure suitable event spaces and necessary equipment for rehearsals and the final show. Arrange seating, stage setup, lighting, and sound systems to enhance the overall experience.
5. Marketing and Promotion: Develop a comprehensive marketing strategy to attract a wide audience, including local residents, tourists, and community organizations. Utilize various channels such as social media, traditional advertising, press releases, and community partnerships to generate interest and increase ticket sales.
6. Volunteer Management: Recruit, train, and supervise a team of volunteers to assist with various aspects of the talent show, such as ticketing, ushering, backstage support, and technical assistance. Ensure clear communication and efficient coordination among the volunteer team.
7. Budgeting and Financial Management: Prepare and manage the talent show budget, ensuring cost-effectiveness and adherence to financial guidelines. Monitor expenses, negotiate contracts, and seek sponsorship or fundraising opportunities to support the event.
8. Event Ex*****on: Oversee all operational aspects of the talent show, including backstage management, performer coordination, sound checks, rehearsals, and stage transitions. Ensure smooth and timely ex*****on of the show, maintaining a professional and enjoyable experience for both performers and audience members.
9. Post-Event Evaluation: Conduct a comprehensive evaluation of the talent show, soliciting feedback from participants, volunteers, and attendees. Identify areas for improvement and make recommendations for future events.
Qualifications:
- Bachelor's degree in event management, hospitality, or a related field is preferred.
- Proven experience in event planning and coordination, preferably in the entertainment industry or performing arts.
- Strong knowledge and appreciation for a wide range of music, dance, singing, and traditional native performances.
- Excellent organizational and time management skills, with the ability to multitask and work under pressure.
- Exceptional communication and interpersonal skills to effectively collaborate with diverse stakeholders, including performers, volunteers, sponsors, and venue owners.
- Proficiency in using event management software, productivity tools, and social media platforms for marketing and promotion.
- Demonstrated ability to work independently, take initiative, and problem-solve creatively.
- Flexibility to work evenings and weekends, particularly during the talent show and related events.
