First, create a setup timeline. Gather important info upon venue booking to find out when you can start setting up and when everything must be ready. Knowing these times helps you plan your tasks better.

Next, prioritize tasks based on importance and time needed. Start with the big tasks, like setting up large equipment or arranging tables and chairs. Smaller tasks, like placing decorations and setting up signs, can be done later.

Good communication is key. Make sure all team members and vendors know the setup schedule and their specific jobs. Regular check-ins ensure everyone stays on track and any issues are quickly solved.

For big conventions and meetings, there are three things you should always remember:

SEATING, DECOR, and SIGNAGE

Make sure your seating plan makes everyone happy.

Keep it comfy, easy to get around, and good for chatting. Comfy chairs and enough space help people relax and focus. Arrange seats so everyone, including those who move slowly, can get to them easily. Put seats in groups so people can talk and share ideas.
