Our small but growing event planning firm needs a reliable, organized Office/Special Events Coordinator. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. If you want to work in a fast-paced office and you would enjoy learning about the event planning industry, we’re excited to talk with you. This job may require weekend and evening work. We’re looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.
Responsibilities:
You will be assisting the Event Lead with a variety of tasks that will include research assignments, assisting with event planning, and logistics; Reaching out to hotels, restaurants, catering companies, entertainment, and event venues for availability, pricing, proposals and other event details. Assist with front and back end coordination of events. Schedule face to face, skype and conference call meetings. Take notes during client and vendor meetings. Assist event team with client and vendor emails, phone calls,event time line, and manage the office calendar. Schedule client and vendor walk thru, assist with wedding rehearsals, preliminary production set up and decor, assist with the wrap up of the end of event and day after break down. Run a variety of errands to pick up/drop off props and materials needed for the client event. Have the drive and passion to learn and be a team player to assist in the ex*****on of each successful event.
Qualifications:
• Ability to multi task and have excellent time management
• Be detailed and organized and maintain files
• Handle tasks with a sense of urgency and accuracy
• Ability to follow instructions as well as take initiative
• Knowledge of computer office suite, use of the Internet and social media
• Need to be available on weekends and some evenings
• Must have valid driver's license and vehicle
• Hours per week: 20-30
