Summary
Events North has been planning exceptional meetings and events for clients for over 15 years around the world. We’re looking to add a seasoned project manager to our team to help execute meetings. A proactive work ethic and apositive attitude is a must. The perfect candidate will be customer service driven. The strongest needed skills are careful attention to detail, excellent project management skills and strong proofreading. They will also enjoy a collaborative teamwork environment. Three – five years in the hospitality industry and previous meeting management is preferred, but we’re open to candidates from the communications, non-profit development or other related industry.

Location, Position & Working Conditions
Traverse City, MI / In office
Full time, occasional travel
Moderate to light physical activity
Office hours are Monday – Friday 8:00 am – 4:00 pm
Reports to Owner & Senior Meeting Manager

Compensation & Benefits
Compensation commensurate with experience
Full time employees receive paid vacation, paid sick days, and paid holidays.
401K benefits are also available.

Responsibilities
The following responsibilities are intended to describe the general nature of the work and should not be an all encompassing list of duties.

• Work closely with all team members to serve client needs.• Manage vendor coordination and communication.• Shop and collect event materials and office supplies as needed.• Prepare event materials such as nametags, gift bags, invitations and mailings.• Work with graphic designer to create and design supplemental meeting materials.• Copy write and proofread materials and provide feedback on messages as needed.• Coordinate different aspects of meetings and events as necessary.• Keep inventory of event supplies and keep event preparation area clean and organized.• Conduct venue, service provider and client research as needed.• Create, send and track RFPs.• Create reports as needed.• Manage hotel and air travel for attendees.• Respond in a timely manner to client and vendor questions.• Submit receipts from expenses as required on a timely basis.• Manage program budgets and receipts.• Communicate effectively with team members by reporting any issues or problems immediately.• BEO creation and proofing.• Onsite timeline creation.• PowerPoint slide creation.• Prepare meeting materials and staff binders.• Pack, ship and unpack meeting materials.• Conduct all work in an ethical, honest, professional manner at all times.• Perform other duties and responsibilities as required or requested.• Post meeting billing reconciliation.• Keep a tidy and neat workspace and contribute to the office cleanliness.

Knowledge and Skills Required
Project management black belt. Seriously… If it were a thing, we would want you to have it.
Manage time efficiently and effectively to maximize productivity.
Ability to set priorities and work in a fast-paced team environment.
Ability to accept feedback from peers and work in a team environment on projects.
Flexible and resilient to changing conditions while maintaining a positive “can do” attitude.
Lifelong learner.
Take on all tasks with confidence.
Sense of urgency while able to produce quality work.
Detail-oriented.
Organized.
Ability to interact professional with clients and vendors at all levels.
Ability to learn new software.
Mac and Microsoft Office proficiency.
Track record of success in working in and influencing a fast-paced organization.
Demonstrates the ability to communicate ideas in a professional and articulate manner.
Demonstrates a high degree of poise, patience, and flexibility.
3-5 years with experience in the hospitality industry and meeting and event industry preferred.
Aventri software trained is a bonus.
Bachelor’s degree preferred, but not required.

There is nothing like orchestrating a meeting that encompasses special touches that embrace the culture and traditions of the location. For Highstreet Insurance Partner's Agents of Change Meeting, attendees made memories waving handkerchiefs during a second line band performance and enjoyed coffee and beignets. We selected New Orleans to host Highstreet Insurance Partner's Agents of Change Meeting at The Roosevelt New Orleans, A Waldorf Astoria Hotel. We love working with such amazing partners to produce meetings.

The Great Lakes Center for the Arts Annual Gala hosted an evening with Chicago and had a record fundraising year benefiting the Center. We were so happy to plan this in partnership with the Center and love when our clients, attendees and vendors become friends and extended family. This evening was definitely a night to remember and we are already looking forward to 2024! Thank you again to everyone who had a role in the evening and it's success.
