#APTipTuesday – The new year is almost here, which means 2024 events will be here before we know it! Before time runs out, take time this month to position yourself for success by making sure your key planning documents including your detailed timeline with action items and event budget are set to go.
This is also a good time of the year to revisit your debrief notes from 2023 events as a reminder of changes you want to make in 2024, as well as getting committee meetings scheduled in the new year so you can hit the ground running in January. And, a reminder to make sure all of your vendor contracts are in place!

Time flies by when you’re having fun!
As we mark Ann Plans’ 16th anniversary, we want to thank the amazing nonprofit organizations and vendor partners who continue to trust in us.
We’re proud to be part of such a generous and caring community. ❤

#APTipTuesday - A key event planner role is to keep all elements of an event timeline moving forward, and it’s true that the squeaky wheel does get the grease! Friendly and frequent check ins with vendors, event committee members and your colleagues on the staff team will be appreciated – and help ensure key deadlines aren’t missed.
Whether you’re wondering if the event invitation is staying on schedule at the print shop or hoping your committee members are remembering to make their sponsorship and auction follow up calls, take a moment to check in with those key event partners for a status update and to offer your support in keeping the process moving forward.
Being the squeaky wheel is a trait that should be a part of any event planner’s DNA!

#APTipTuesday – Joan Garry’s blog from the end of 2022 on “How to Raise Serious Money in 30 days” provides great tips for positioning your organization well for fundraising throughout 2023. Check out Step #2 in the article on creating a “success and story cheat sheet” to help inform fundraising messaging in all of your platforms including online and direct mail campaigns, individual meetings with top donors, and events.
Take time now to create your cheat sheet highlighting 5 top organizational accomplishments from last year as well as 3-5 top goals for 2023. And, throughout the year, be proactive in capturing 2023 successes to lift up in your communications with supporters. This valuable document will empower your fundraising team with examples of the compelling work your organization is doing in the community.

Happy Birthday, Sarah! We love having you on the Ann Plans team. Wishing you a fantastic day filled with fun and love. Cheers!

#APTipTuesday - Ann Plans’ next favorite Instagram tip makes it easy for followers to register for your next event with one click.
Tip 2: Increase the organic reach of promoting your next event with a live link Instagram hack called “link in bio”. Instagram doesn’t allow live links in the post copy unless you are verified and have over 10K followers, or you pay for sponsored content. Instagram users have found a workaround by using the website field in the profile for live links.
We recommend making it easy for followers to register for your event by inserting the registration link in the website field on Instagram. Then direct followers to the “link in bio”, which is recognized Instagram lingo, to register now in your post copy.
Today’s bonus tip: Follow up your event posts with a story post and use the “link in bio to register now” copy for exponential post reach and organic growth. (See last week’s post for more information on story posts #ICYMI)

A short promo video is a great way to bring attention to your upcoming event. We love this example that Belinda Jensen, KARE 11 meteorologist and Pete Moe, Minnesota Landscape Arboretum Director filmed for the upcoming Gala in the Gardens. This virtual event is just one week away on Thursday, June 17. Watch this fun one minute video to learn how to register. https://arb.umn.edu/gala

#APTuesdayTip - Make your virtual or hybrid event program visually interesting by using more than one camera and working with your AV company to strategize on how to best utilize a variety of camera angles. Different angles, a moving camera shot, and switching between a wide shot and close up will keep the program more engaging for your viewers! Here are some photos from the Boys & Girls Clubs of the Twin Cities’ virtual For the Kids Benefit earlier this month AV For You where we used multiple cameras, a variety of camera angles, and change in backdrop image.
