🏁 Northern Ireland gears up for first ever Motor Industry Awards 🏁

Northern Ireland’s first ever motor industry awards – Northern Ireland Motor Industry Awards – have been launched to help acknowledge and celebrate the industry’s leading motoring businesses and professionals.

Sponsored by Used Cars NI, Northern Ireland’s leading online vehicle marketplace, hosted by Pamela Ballantine, and supported by media partner Cool FM, the gala black-tie event will take place on Friday 3rd November at the Crowne Plaza, Belfast and will be open to motor retailers, manufacturers and suppliers, as well as industry professionals across Northern Ireland.

We've an exciting line up of online and in person events next week with The Open University in Northern Ireland and Imagine. The Belfast Festival of Ideas & Politics

First up on Monday 20th March is breaking the cycle of online violence against women.
Join the OU’s Dr. Olga Jurasz to hear her research insights into online violence against women in Northern Ireland.

Guest speakers include Cara Hunter, SDLP MLA and Kelly Andrews, Chief Executive Officer of Belfast and Lisburn Women’s Aid. They will share their experiences of how online violence impacts women in public life.

Next up on Thursday ‘Our Shared Built Military Heritage’

Academics from The Open University and University College Dublin collaborated to map residential army barracks built on the island of Ireland between 1690 and 1921.
This event will be hosted by the co-leads on the project, the OU’s Dr. Suzanne Forbes and Dr. Charles Ivar McGrath of UCD.

Events can be a mass of activity, here’s our top tips when planning a large scale event:

1️⃣ Utilize technology:

🔵 Use walkie talkies for instant communication between the team, most smart watches have this function too. Especially useful when phone signal is unreliable.

🔵 Use an online guest list function (like Eventbrite’s or Skiddle) to check guests in online, you can use your phone to scan guests tickets and it syncs if you have multiple team members checking in. Cuts down on the admin time post event when analyzing any no shows.

🔵 Trello is an online project planner and it’s free, good for creating management plans and running orders. It can be updated instantly and the whole team can have access.

2️⃣ Make the most of your resources:

🔵 As an Event Manager, it’s important you’re not the only one who knows everything. Disseminate information in advance to the team and stakeholders, and hold briefings on the day. The reality is you can’t do everything and be everywhere - the team can be your eyes and ears if you let them.

🔵 Match the teams' skills & passion to the right role - a happy team = a happy guest.

3️⃣ Have consistent and efficient processes:

🔵 Ensure you have operating procedures in place such as set up checklists.

🔵 A crisis plan including communication for key personnel.

🔵 Assess the things that could go wrong and have contingency plans in place so everyone knows what to do if something doesn't go to plan.

“Communication is key”, is a phrase you've probably heard a million times but when it comes to event success it really is true.

When you’ve a team made up of internal and external stakeholders (volunteers, staff, suppliers, clients, sponsors, funders) who are supporting in one area but need to be aware of the entire event, good communication is essential.

We’ve witnessed many mistakes with events, from a team member not knowing the answer to a customers query to something more serious like the first aid team not being briefed on expected attendees. 9 times out of 10 it comes down to a simple breakdown in communication that could have been avoided.

Good communication enables all stakeholders to be more responsible and commited to the events success. It breaks down silo working and creates a two way conversation, leading to happy guests and clients.

Here’s our top tips:

🔵 Draft and circulate briefing documents and an event management plan

🔵 Communicate in advance and on the day

🔵 Utilize technology like smart phones and walkie talkies

🔵 Hold a debrief meeting to celebrate success and identify learnings

“In preparing for battle I have always found that plans are useless, but planning is indispensable.” - General Dwight Eisenhower

No one wants to imagine the worst case scenario at your event but an Event Manager needs to think ‘what could go wrong and how can I mitigate these risks’. No matter how organised you are and how exciting the programming is not every element is going to go to plan on the day - hope is not a strategy.

When it comes to people, safety is just as important as the creative side.

Overcrowding, vechiles on site, not enough first aid provision, infastructure, weather, electrics are among the top things to consider when thinking about safety.

Map out the potential scenarios and put robust cointigency plans in place. Then share them with your team - communicating with your whole team in advance and on the day is just as important.

Sometimes guests only see the true need for an Event Manager when things go wrong.
