What does an initial consultation look like with OtherWorld Events LLC?
We always start with the basics W’s, who, what, where, when. This smoothly goes into the hows of what I can provide.
We’ll ask questions about what you feel comfortable handling, and what aspects you need help with or just advice. Part of our service is identifying points of stress and seeing where we can alleviate your concerns.
Our preference is either an in person or video call but we understand that talking in person can be difficult, and you may be more comfortable communicating only by text or email. We don’t charge by how many texts or emails we need to exchange.
Unlike other planners, we don't limit initial Consultations to a set time frame, even we can't explain details in half an hour! Our Consultations are free until we determine how our Services can assist you and make sure we’re quoting a price in line with your needs.
What is the difference between an Event Manager? Planner? Coordinator? Aren’t they all the same?
This is a great question, often these terms are used interchangeably but they’re each unique! Let’s do a quick breakdown.
You might only need a Planner to help figure out some details of your event, create a budget, make phone calls, or brainstorm. But you're savvy enough you don’t need them to come to your Event and actually give you a hand. You got this.
Compare this to a Coordinator, maybe you DO need someone to come help give you a hand after all. Getting your family moving in the right direction is like herding cats, or your best friend is easily distracted by shiny objects. You can only be in one place at a time but multiple details need your attention. A Coordinator, knowing all the details, is right there with you accomplishing the same tasks you are.
A Manager, well, manages everything. You had a big idea on a team building activity, it's exciting and you know people at your office will love it. But you just don’t have the time needed to get anything planned or the details. A Manager takes your idea and plans your event for you, stopping at every step to ask for your input and present several options to choose from.
When the day of your Event arrives, you don’t need to lift a finger, you get to enjoy it just as much as everybody else. Your Event Manager is taking care of everything.
Now you see why prices are drastically different between every Event Planning service. Some consider themselves only Coordinators, or just Managers. And charge only for what “they'' can provide, and not what you “need” for your Event.

Do you charge for travel? What if my event is on the other side of the US?
This will depend. If the event is Local to us, we don’t tend to charge for travel costs.
However, do you need us to travel to scout venues? If needed, we’re more than happy to travel to assess a venue's ability to host your event. We’ll take video, pictures, and network, making sure to detail every pro and con.
As we discuss in our consultation, we’ll determine the need for this additional service.

Yes. We offer a variety of ways to get your Event in public view.
From ads, to social media, and more.

What are your prices?
It's hard to give a firm quote without knowing more, but here's our direct answer "What do you need help with?"
We offer half or full days, multi days, or even Custom Packages of anything in-between, which you’ll see below.
Many people are fully capable of planning events themselves, but want to join IN on the fun instead of having to manage it, we can help.
You might need someone to manage your guests for a few hours, and hire catering, this shouldn't cost you $1000! That's outrageous! We can easily determine an hourly rate if that's what best fits your needs.
Consultation
Free
Consultations are free, including your Initial and as negotiated, any additional discussions. We know you need to meet with an Event planner and get feedback in order to decide on “whom” will be the right “fit” for you and your personality. Choosing an Event planner is nothing you should feel rushed into.
Keeping this in mind for our pricing, the reason OtherWorld Events LLC rate varies widely all depends on what's needed.
Some only need an assistant while they manage an event themselves, some want to sit back, relax and let someone else handle all the details.
Both of these shouldn’t cost the same. We charge according to the work expected, not because we want a bigger payday.
Hourly Rate
$20-$40 an hour, minimum of 6 hours.
Hourly rate is displayed largely for Clients to get a quick “at-a-glance” idea of how we’re charging for our time. We don’t prefer to charge an Hourly Rate unless determined in our Consultation.
Half Day or Single Day Service
Event Planner or Coordination
Example costs $360 - $2,000
Event Managing
Example costs $1,500 - $4,500
Some examples of this package,
Birthday party, tournament, corporate meeting, retirement party, activity, concert, parade, or family gathering.
Most people are capable of preparing for a single day event, this option is just right for anyone who's already worked out most of the details. But you could need help with planning a budget, developing a theme or vision, researching and negotiating with venues and vendors.
Or with coordinating, setting up or breaking down the Event, assistance with errands, shopping, etc.
Of course, you may not want to deal with the stress of remembering every detail, and just want someone to take care of it for you by managing your Event.
Depending on the event, preparation only takes two or three months.
Multi Day Service
Event Planner or Coordination
Example costs $1,500 - $6,000
Event Managing
Example costs $4,000 - $10,000

Multi day wedding, multi day gaming or sporting tournaments with progression cuts, conventions, trade shows, festivals, team building weekend.
The difference between a single day event and one that lasts five days is staggering, it's not about simply doubling or tripling the needed items, these events take months of preparation. Many yearly events start planning for the next year as soon as it finishes!
